POS system for Ugandan shops, bars and restaurants

Sales, receipts, stock, mobile money and the cash-up in one place, checked from your phone at night. Here is what a POS system does, what the hardware costs in Kampala today and how EFRIS fits.

The short answer

A POS system (point of sale system) is the software, and the few pieces of hardware around it, that a business uses to record each sale, issue the receipt, take cash or mobile money and reduce stock as goods leave. In a Ugandan shop, supermarket, hardware, pharmacy, bar or restaurant it replaces the sales book, balances the drawer at closing and lets the owner check every branch from a phone.

The cheapest working setup is the smartphone you already have plus a 58mm thermal receipt printer: Kampala marketplace listings ran from UGX 140,000 for a basic unit to UGX 220,000 to 250,000 for Bluetooth models in September 2026. A full counter with a used laptop, 80mm printer, barcode scanner and cash drawer comes to about UGX 1,370,000 at typical prices. Our own cloud POS, Growth Informer Business, runs on a phone and issues URA EFRIS e-receipts and e-invoices, with EFRIS switched on when URA requires it and left off until then.

What a POS system does in a Ugandan business

A working day with a POS system

Opening, 7:30am. The cashier logs in at the till. Last night's closing stock is this morning's opening stock, so nobody recounts shelves or copies figures onto a new page.

The lunchtime rush. Each item is scanned or tapped, the total is right the first time and the receipt prints in seconds. The customer pays cash, MTN MoMo or Airtel Money and the cashier marks which, so mobile money never gets mixed up with the drawer.

Closing, 8pm. The system shows what cash should be in the drawer and what came in by mobile money. The cashier counts and enters the figure. A shortfall shows at once, against a name and a shift, not three weeks later at stock-take.

The owner at home, 9pm. On the phone: the day's sales for each branch, what sold, what is running low and what was spent. No calls to the shop and no waiting for the book on Saturday.

What it does in each type of business

  • Retail shop and supermarket: barcode scanning, quick checkout, stock that falls with every sale and a cash-up per till.
  • Hardware: thousands of lines sold by the piece, metre or bag, credit sales to contractors, and quotes that become invoices.
  • Pharmacy: batches and expiry dates, so short-dated stock is sold or returned first.
  • Bar and restaurant: orders by table and waiter, tickets sent straight to the kitchen or bar, and running bills. See the restaurant POS system.
  • Hotel and lodge: rooms, bookings and the restaurant in one place.
  • Branches: each branch sells on its own till and the totals come together in one view for the owner.

What a POS system in Uganda has to cope with

  • Mobile money as a normal way to pay, recorded apart from cash.
  • Power and internet cuts, with a plan for the till to keep selling.
  • EFRIS e-receipts for the businesses URA requires to issue them.
  • Owners who are not in the shop and need the numbers on a phone.
  • Regular customers who buy on credit and pay at month end.

Why it pays: the leak arithmetic

The leaks we see most in Kampala shops, bars and restaurants without a POS are four ordinary ones: sales not written down, voids after the goods have gone, stock counted by feel, and cash-ups nobody can trace to a person. A POS puts a time, a till and a name on every sale and every void.

The sums matter most where margins are thin. US industry figures put restaurant net profit at about 3 to 5 percent of sales. At that margin a restaurant selling UGX 20 million a month keeps about UGX 600,000 to 1,000,000. A leak of UGX 20,000 a day, one plate or a few beers never rung up, is UGX 600,000 a month: most or all of that profit. The UGX figures are an illustration, not a survey.

The payback question, worked. Stopping UGX 20,000 a day of leakage pays back a UGX 1,370,000 counter kit in about 69 days (1,370,000 divided by 20,000). Stopping UGX 5,000 a day takes about 274 days. Both sums use an assumed leak, not a measured one. The honest first step is to count one week of stock against one week of recorded sales and find out what your own number is, because that figure, not the price of a printer, decides whether a POS is worth buying this month.

Growth Informer Business: the POS we run

Growth Informer Business is our own live cloud POS, stock and business platform. It runs on a phone, and what is recorded at the till reaches the owner's phone the same evening. If you plan a counter setup, ask us to show it on that hardware in the demo.

  • Sales and receipts at the till.
  • Stock that goes down with each sale and up with each purchase you record.
  • Purchases and expenses, so you see what went out as well as what came in.
  • Several branches in one system.
  • Restaurant and hotel modules for kitchen orders, tables, rooms and bookings.
  • URA EFRIS e-receipts and e-invoices, as a setting you switch on or off.

What you see on your phone at 9pm

Today's sales for each branch, what sold, the stock left, purchases received and expenses paid. If a branch is quiet or a fast seller is running out, you know tonight and can act in the morning, not at month end.

EFRIS on when URA requires it, off until then

Growth Informer Business issues URA EFRIS e-receipts and e-invoices today. EFRIS is a setting. A business that must use EFRIS, or chooses to, switches it on. A business that is not yet required leaves it off and sells as normal. If you later register for VAT or your sector is brought in, you switch it on without changing systems.

POS system software you can see working first

We show you Growth Informer Business working before you commit, so you judge it by what it does, not by a brochure. It is priced from UGX 1,000,000 a year for one business; ask on WhatsApp for a demo, and for a quote if you run more than one business.

When off the shelf does not fit

Some businesses need a POS built around how they already work: a wholesaler with a price list per customer, a manufacturer selling from its own production, a chain that must feed an existing accounting system. For those we build a custom POS, with a fixed quote before work starts and a 50/25/25 payment plan, and you own the source code and the data.

Three ways to set up a POS system, and what each costs

Hardware prices below are asking prices on Kampala marketplaces, mainly Jiji, seen on 19 September 2026. They move weekly, so use them as a budget guide, not a quote. Model by model prices are in our POS machine price guide.

1. Phone plus a Bluetooth receipt printer

For: a kiosk, small shop, boutique, drug shop counter or any business with one person selling. You need: the smartphone you already have, a 58mm Bluetooth thermal printer and mobile data.

Hardware cost: 58mm receipt printers were listed from UGX 140,000 for a basic unit; Bluetooth models, which pair with a phone, at UGX 220,000 (portable) and UGX 250,000 (USB plus Bluetooth). Budget about UGX 250,000 and you are selling with receipts. If you would rather have one device, Android handheld POS units with a built-in printer were listed at UGX 190,000 to 980,000, from only a few full listings.

2. Counter setup: laptop or touch terminal, printer, scanner, drawer

For: supermarkets, hardware shops, busy pharmacies, bars and anywhere a queue forms. You need:

  • A used business laptop, such as an HP EliteBook with a Core i5: UGX 450,000 to 700,000, typically about 600,000. An all-in-one touch terminal instead: UGX 440,000 to 1,320,000 or more, from few listings.
  • An 80mm thermal receipt printer with auto-cutter: UGX 300,000 to 750,000, typically about 400,000.
  • A USB barcode scanner: UGX 105,000 to 140,000; wireless ones from UGX 120,000.
  • A cash drawer that opens from the printer: UGX 140,000 to 250,000, typically about 240,000.

Worked example, one till: 600,000 + 400,000 + 130,000 + 240,000 = about UGX 1,370,000. The cheapest listings bring it to about UGX 995,000 and the dearest to about UGX 1,840,000. Optional extras: a customer pole display (UGX 260,000 to 350,000) and a barcode label printer (UGX 400,000 to 1,250,000) for shops that label their own stock.

Worked example, a restaurant with three waiters: one counter kit (UGX 1,370,000), an 80mm kitchen printer (about UGX 400,000) and three waiter tablets at UGX 250,000 each (UGX 750,000) comes to about UGX 2,520,000. A new Samsung Galaxy Tab A 10.1 was listed at UGX 250,000, though that 2019 model no longer gets Android updates. Growth Informer Business covers kitchen orders and tables in its restaurant module.

3. A custom POS built around your workflow

For: chains, wholesalers, manufacturers and businesses whose process does not fit a standard screen. You need: the counter kit for each till, plus whatever the workflow calls for, such as label printers, pole displays or handhelds for the shop floor. Software: built for you, , as a fixed quote before work starts.

Worked example, a two-till supermarket: two counter kits at typical prices (UGX 2,740,000) plus one label printer (UGX 400,000 to 1,250,000) is about UGX 3,140,000 to 3,990,000 in hardware, whichever software runs on it.

POS system price: the software side

Hardware is a one-off cost. Software is either a plan for a ready system such as Growth Informer Business (from UGX 1,000,000 a year for one business) or a one-off build for a custom POS. Also budget for receipt paper rolls, mobile data or broadband, and a UPS or power bank so a power cut does not stop the till.

POS machine or POS system?

In Uganda "POS machine" can mean a bank card terminal, an electronic cash register or a handheld with a built-in printer. An 81-key electronic cash register was listed at UGX 850,000 to 1,248,800, but a plain cash register is not an EFRIS device on its own. The POS system is the software that ties sales, stock and cash-up together across tills and branches.

How to choose a POS system: 10 questions

  1. Does it run on hardware you already have? If it runs on a phone, you can start with a UGX 220,000 to 250,000 Bluetooth printer and move to a counter setup later without changing software.
  2. Does stock go down with every sale and up with every purchase? A POS that only prints receipts will not stop stock walking out.
  3. Does it separate cash, MTN MoMo, Airtel Money and card at cash-up? If not, the drawer will never balance.
  4. Who can void a sale, give a discount or change a price? Those actions should need a manager and leave a record with the reason.
  5. Can you see every branch from your phone? Sales, stock and expenses, without calling anyone.
  6. Can it issue EFRIS receipts when you need them? And can you leave EFRIS off until then, without changing systems?
  7. What happens when the internet or power goes? Ask how sales are kept and sent later, and put the till and router on a UPS.
  8. Does it fit your trade? Tables and kitchen tickets for restaurants, batches and expiry for pharmacies, units and credit accounts for hardware.
  9. Who trains your staff and who answers when something breaks? Ask for a named contact and a response time. We reply on WhatsApp within 6 hours.
  10. Who owns the data, and how do you get it out? On a custom POS we build, you own the source code and the data. On any subscription system, ours included, ask how you export your records before you load them.

POS system for small business: when simple is enough

One counter, one person selling and a few hundred products? The phone and Bluetooth printer is enough. A kiosk selling UGX 100,000 a day would spend almost 14 full days of takings on a UGX 1.37 million counter kit, so start with the phone and printer.

POS system for retail: when to move up

Move to a counter setup when a queue forms at lunchtime, when most of your products carry barcodes, when you hire a second cashier or when you open a second branch. Choose software that runs on both a phone and a counter, and only the hardware changes when you move up.

POS system with EFRIS: the short version

EFRIS is URA's Electronic Fiscal Receipting and Invoicing Solution. Each sale sent through it comes back with a Fiscal Document Number (FDN), a verification code and a QR code on the receipt. URA stresses that EFRIS is not a new tax; it is a way of recording sales.

  • Every VAT-registered business must issue EFRIS e-invoices, whatever its size. The 2026 amendments raised the VAT registration threshold to UGX 300 million a year from 1 July 2026, but URA's own pages still showed the old UGX 150 million when we checked, so confirm the figure with URA.
  • Businesses in 12 URA sectors have had to issue EFRIS e-invoices or e-receipts since 1 July 2025, VAT registered or not. They include accommodation and food service (hotels, lodges, restaurants), construction, manufacturing, and wholesale and retail of fuel. Below UGX 10 million annual turnover they are exempt, and may still use EFRIS voluntarily.

Two worked examples. A restaurant selling UGX 40 million a year and not VAT registered has had to issue EFRIS e-receipts since 1 July 2025. A general retail shop selling UGX 120 million a year, not VAT registered and outside the 12 sectors, is not required to under these rules; it can run the same POS with EFRIS off and switch it on if it registers for VAT.

From 1 July 2026, a business that must use EFRIS and fails to issue an e-receipt or e-invoice faces a penal tax of double the tax due or UGX 200,000, whichever is higher. Its business customers also cannot claim an income tax deduction for what they paid it.

URA's web portal and desktop app carry no URA charge; connecting your own POS to EFRIS is at your cost. For a POS, ERP or accounting system you already use, we scope the connection against URA's published specification and confirm it is feasible before we quote; see EFRIS integration. Not sure you are covered? Read do I need EFRIS. Meeting the fiscal rules remains your business's own obligation, and rulings come from URA (toll free 0800 117 000), not from us. The full rules are in our EFRIS guide for Uganda.

Set this up first

A POS system is rarely step one. This is the order that costs least, with the real cost of each basic step, and us named only at the stage where we genuinely earn the money.

  1. The basics, at their real cost. Register the business name with URSB: UGX 35,000 to reserve the name plus UGX 55,000 to register it, about UGX 90,000 in official fees. Owners commonly report paying agents anywhere from about UGX 600,000 to several million for the same paperwork, so the fee and the agent are two different numbers. A private company with nominal share capital up to UGX 5,000,000 is UGX 105,000 plus 0.5 percent stamp duty. Then a TIN from URA, which URA issues free of charge and which an individual with a National ID can get online in about five minutes. Then the KCCA or council trading licence for your trade and area grade: a general shop is UGX 31,500 (Grade IV) to UGX 210,000 (Grade I) a year, a kiosk UGX 6,000 to UGX 75,000, a restaurant UGX 36,000 to UGX 187,500. It is payable before you start trading and again by 1 January each year.
  2. The habits that cost nothing. Keep business money in its own account or mobile money line, write every sale and expense down the same day, put your prices and photos on WhatsApp Business, and claim a Google Business Profile so the shop shows on Maps and in search: how to add your business to Google Maps. These four cost nothing but your evening.
  3. Once there is stock to lose, or somebody other than you at the till: a sales and stock system, which is what this page is about. Growth Informer Business records sales, stock and the daily cash-up on a phone, and EFRIS is a setting you switch on when URA requires it. Check whether that is you with Do I need EFRIS? before you pay for anything.
  4. Once customers look you up before they come, or you sell past walk-in trade: a website, , with a monthly care plan if you would rather not maintain it yourself. See how to create a business website in Uganda.
  5. When no ready-made tool fits the way you actually sell: a custom build, quoted once we understand exactly what it has to do, never before.
  6. When a penalty, assessment, audit letter or deadline is already live: we are a URA-registered tax agent. We set systems up, file, object and represent you, and we quote after seeing the notice.

Match the step to the stage, not the other way round. A UGX 500,000 stall needs steps 1 and 2 and nothing else: a daily record and a WhatsApp catalogue, not a till and not a website. A shop carrying UGX 5,000,000 of stock with a cashier at the counter is usually losing more each month than a POS costs.

Switching from paper or another system

  1. List your products with name, unit, selling price and barcode where there is one. A spreadsheet is fine.
  2. Count stock after closing the evening before you start. That count is your opening stock.
  3. Give each cashier their own login, so every sale and void carries a name.
  4. Run the book and the POS side by side for a few days and compare the totals each night.
  5. Do the first cash-ups with the cashier until the drawer balances.
  6. Sort EFRIS last, if it applies. Register with URA; once URA approves you, your goods and services are set up in EFRIS before the first e-receipt. Then switch EFRIS on.

Coming from another POS? Export your product list, stock balances and customer accounts first. If the old system works well but cannot issue EFRIS receipts, connecting it may cost less than replacing it; we tell you which after scoping it.

Training and support. Cashiers learn a POS at the till on real sales, so plan the first week around it. We are a Kampala software company with 37 live website and app builds. We reply on WhatsApp within 6 hours and set up a meeting for the next day.

Frequently asked questions

What is a POS system?

A POS (point of sale) system is the software and hardware a business uses to record each sale, issue the receipt, take payment and reduce stock. In Uganda it usually runs on a smartphone with a Bluetooth receipt printer, or on a laptop or touch terminal with a receipt printer, barcode scanner and cash drawer.

How much does a POS system cost in Uganda?

Hardware runs from about UGX 220,000 to 250,000 for a Bluetooth receipt printer used with your own phone, to about UGX 1,370,000 per till for a used laptop, 80mm printer, barcode scanner and cash drawer, at Kampala marketplace prices seen in September 2026. Growth Informer Business is priced from UGX 1,000,000 a year for one business. A custom POS is priced .

What is the best POS system for a small business?

One that runs on the phone you already have, prints receipts to a UGX 220,000 to 250,000 Bluetooth printer, tracks stock as well as sales, separates cash and mobile money at cash-up, shows you the day from home and lets you switch EFRIS on later. Start with a phone and a Bluetooth printer, and move to a counter setup when queues form or you open a second branch.

Do I need a POS system with EFRIS?

You must issue EFRIS e-invoices or e-receipts if you are VAT registered, or if you are in one of URA's 12 listed sectors, such as restaurants, hotels, construction and manufacturing, with annual turnover of UGX 10 million or more. Otherwise EFRIS is voluntary. Growth Informer Business lets you keep EFRIS off until it applies and switch it on without changing systems. Confirm your own position with URA.

What is the difference between a POS machine and a POS system?

A POS machine is a piece of hardware: a bank card terminal, a cash register or a handheld with a built-in printer. A POS system is the software that records sales, stock and cash-up across your tills and branches. An 81-key electronic cash register was listed at UGX 850,000 to 1,248,800 in September 2026, but a plain cash register is not an EFRIS device on its own.

Can I check my shop's sales from home?

Yes, with a cloud POS. With Growth Informer Business the owner sees each branch's sales, stock, purchases and expenses on a phone the same evening, without calling the shop.

Which app can I use to record daily sales in my shop?

Growth Informer Business is our cloud POS, stock and business platform, and it runs on a phone. It records sales and receipts at the till, keeps stock going down with each sale and up with each purchase you record, and tracks purchases and expenses alongside sales. What is recorded at the till reaches the owner's phone the same evening.
