The short answer
A restaurant POS system in Uganda is the till, kitchen and stock system that runs your floor. A waiter takes the order on a tablet or phone at the table, the kitchen and the bar each get their own printed ticket within seconds, the table bill builds itself as more rounds go on, and the sale closes on cash, card or MTN and Airtel mobile money. Because it is built for Kampala conditions, the till keeps taking orders when the internet drops and syncs everything the moment the line comes back.
We build restaurant billing software as a fixed scope project. A single till for one restaurant or cafe starts at UGX 2,500,000, a restaurant with a separate bar and two to four tills starts at UGX 4,500,000, and a multi branch setup with central stock and owner reports starts at UGX 7,500,000. Hosting, backups and support run at UGX 150,000 a month. Payment is 50 percent to start, 25 percent at review, 25 percent on handover.
Where restaurants in Uganda actually lose money
Most owners we meet in Kampala, Entebbe and Mbarara are not short of customers. They are short of control. The gap between what left the kitchen and what landed in the drawer is where the profit quietly goes.
The four leaks we see every time
- Verbal orders. The waiter shouts the order across the pass, the cook hears something else, the plate comes back and the food is wasted.
- Untracked voids. An item is cancelled after it was already served, and nobody can say who cancelled it or why.
- Bar stock by feel. Crates come in, empties go out, and a real count only happens when somebody already suspects something.
- Cash up by guesswork. The shift ends with a figure that cannot be traced back to a table or a waiter.
A proper restaurant point of sale closes all four, because every single item has a name, a time, a table and a printed ticket behind it. It is the same discipline we build into a retail POS and inventory system, tuned for a kitchen line instead of a shop counter.
What the system does on a busy Friday night
We do not sell a demo full of features nobody touches. These are the things your floor staff and your cashier use every hour.
Orders and the kitchen line
- Order taken at the table on a tablet or a cheap Android phone, no walking back to the counter
- Separate tickets routed to kitchen, grill and bar printers, so the bar is not waiting on the kitchen queue
- Modifiers that match how people actually order here: no pepper, extra kachumbari, well done, takeaway
- Course timing, so starters fire immediately and mains fire when the waiter releases them
Tables, bills and money
- Open tables with running bills, split bills by person or by item, and transfer a table when guests move outside
- Manager PIN required for voids, discounts and price overrides, with the reason stored against the staff name
- Cash, card, and mobile money on MTN MoMo and Airtel through our mobile money integration, so the payment reference lands on the bill instead of in a WhatsApp screenshot
- Shift cash up that shows expected versus counted, per cashier, before anyone goes home
Stock that ties back to the menu
Each menu item carries a recipe, so selling one chicken curry deducts the chicken, rice and oil you set. You see theoretical stock against counted stock at the end of the week and the variance is a number, not an argument. If you want purchasing, suppliers, staff and accounts in the same place, that is our wider restaurant management software.
Honest prices in UGX
Every quote is fixed before we write a line of code. What moves the price is the number of tills, whether you run a bar, and whether you have more than one outlet.
| Setup | Price | Best for |
|---|---|---|
| One till, one kitchen printer | from UGX 2,500,000 | Cafe or single restaurant, menu loaded, up to 5 staff logins |
| Restaurant plus bar, 2 to 4 tills | from UGX 4,500,000 | Table service with a separate bar line, recipes and tot control |
| Multi branch, central stock and reports | from UGX 7,500,000 | Two or more outlets under one owner, one dashboard |
| Hardware supply and fitting | quoted at cost plus fitting | Tills, thermal printers, cash drawers, tablets, network |
| Hosting, backups, support and small changes | UGX 150,000 per month | Every client after handover, cancel with a month notice |
Menu loading is included. We take your printed or PDF menu, enter the items, categories and prices, and hand the system over already usable. If you also need customers finding you and ordering, a restaurant website starts at UGX 1,000,000 and can share the same menu.
Bars, lounges and quick service
A bar breaks a normal POS. Drinks are sold by bottle, by tot, by crate and sometimes by peg from an opened bottle, and stock walks out in ways a food kitchen does not experience.
- Sell the same spirit as a bottle, a tot or a double, with the stock deducting correctly for each
- Crates and empties tracked separately, so returns to the distributor reconcile
- Happy hour and weekday pricing that switches on time, without the barman touching a price
- Quick service mode for a takeaway counter or a rolex point, where speed matters more than tables
For a lounge with a kitchen, we usually run one system with two printer routes and two stock groups. Owners who also run other businesses put everything under one business management system so the restaurant reports sit next to the rest.
How we build and roll it out
We have delivered 25 or more live builds and manage over 100,000 US dollars in client ad spend, so we plan around real trading, not around a project plan that ignores your Friday.
Four steps
- Sit in your outlet. We watch a service, count your tills, check your printers and note how orders currently reach the kitchen.
- Fixed quote and scope. One document, one price, 50 percent to start, 25 percent at review, 25 percent on handover.
- Build and menu load. Typically 3 to 6 weeks depending on size, with a working till to click through midway.
- Go live beside you. We install on a quiet weekday, train waiters and cashiers on the floor, and stay through the first busy night.
Data does not disappear if the router does. The till holds orders locally and pushes them up when the connection returns, which matters when you are trading through a power cut on a generator.
How to choose a restaurant POS in Uganda
Before you sign with anyone, including us, ask these questions and insist on seeing the answer on a screen, not on a brochure.
- Unplug the internet during the demo. Can the waiter still send an order to the kitchen? If not, walk away.
- Ask who owns the data. You should be able to export your sales and stock at any time without asking permission.
- Check the monthly cost, not just the setup. A cheap install with a per till monthly fee can cost more in year two.
- Ask who answers on a Saturday. Support that only exists on email is not support for a restaurant.
- Confirm mobile money is real. A field where the cashier types a MoMo reference by hand is not an integration.
If stock across several locations is your real problem rather than the till itself, read about inventory management software first and let us scope the two together. We would rather quote you for what you need than sell you a bigger system than your outlet earns.
Frequently asked questions
How much does a restaurant POS system cost in Uganda?
A single till setup for one restaurant or cafe starts at UGX 2,500,000. A restaurant with a separate bar and two to four tills starts at UGX 4,500,000, and a multi branch setup with central stock starts at UGX 7,500,000. Hosting, backups and support are UGX 150,000 a month. Hardware such as tills, thermal printers and cash drawers is quoted at cost plus fitting. Every project is a fixed quote paid 50 percent to start, 25 percent at review and 25 percent on handover.
Will the POS still work when the internet goes down?
Yes. The till stores orders and payments locally and keeps printing kitchen tickets during an outage, then syncs to the cloud automatically once the connection returns. Card and mobile money confirmations are the only part that needs a live line, so cash sales continue as normal.
Can customers pay with MTN MoMo or Airtel Money?
Yes. We build mobile money in properly, so the cashier triggers the request, the customer approves on their phone, and the confirmed reference is attached to that bill automatically. No typing references by hand and no reconciling from screenshots at the end of the night.
How long does it take to install?
Usually 3 to 6 weeks from the signed quote, depending on the number of tills and outlets. That includes loading your menu, setting up printers and network, and training your waiters and cashiers on the floor. We go live on a quiet weekday and stay with you through the first busy service.
Can one system run both my restaurant and my bar?
Yes, and it should. We run one system with separate printer routes for kitchen and bar, and separate stock groups so spirits sold by tot deduct differently from plated food. You still get one daily sales report for the whole outlet, plus a breakdown by kitchen and bar.
