When bespoke is worth it, and when it is not
The useful test is not whether your business is unique. It is whether the gap between what you actually do and what a packaged tool assumes is costing you real money in staff hours, errors, refunds or lost sales. If the gap is small, buy the tool and get on with your week. We have talked clients out of a build more than once.
If your team keeps a spreadsheet open next to the software to make the software work, the gap is not small.
Bespoke earns its keep when your pricing, approval or commission rules will not fit standard fields, when two or three systems need to talk to each other and nobody has written that bridge, when your data cannot sit on a shared platform for legal reasons, or when you are paying per seat for staff who log in twice a month. How to choose a custom software company
Ask every shortlisted firm the same five questions, and compare the answers rather than the proposals.
- Who owns the code at the end? The answer should be you, in a repository in your name, with no licence fee to keep using what you paid for.
- Is the quote fixed or hourly, and what exactly triggers a change fee? Vague answers here become invoices later.
- How many people know this codebase? One developer is a single point of failure, however good they are.
- When do I first see something running? If the answer is later than the second or third week, you are buying a promise, not a build.
- Where will the data live, who can access it, and how are backups tested? Ask for the restore procedure, not just the word backup.
