The short answer

Accounting services in Uganda means an outside firm turning your sales, bank and mobile money records into reconciled books, a monthly profit and loss you can read in five minutes, and the VAT, PAYE and year end returns filed on their deadlines. Growth Informer Software Services does this as a URA-registered tax agent: bookkeeping and reconciliation, management accounts, year end financial statements, and the filings that go with them, at a fixed price agreed before any work starts.

We publish no price for our own accounting work on this page, because a business with 40 transactions a month and one with 4,000 are not the same job. What we do publish are the official government fees around a business, so you can see what the paperwork really costs before anyone quotes you for handling it. If your books are behind, start with bookkeeping services. If an audit is coming, start with audit preparation.

Want to know what your monthly accounts would actually cost?Send us your last 3 months of sales, bank and mobile money records on WhatsApp, and we will tell you what needs fixing and quote the monthly work.

What we do each month, and what you send us

A monthly engagement runs the same cycle every month: you send us what happened, we turn it into reconciled books and numbers you can act on, and file whatever is due to URA that month. Scope is agreed and quoted before we start, but this is the shape of it.

What we do each month, what you send us, what you get back
What we doWhat you send usWhat you get back
Bookkeeping and reconciliationPOS or till reports, bank and mobile money statements, supplier invoicesA reconciled cash book and ledger, with cash, bank and mobile money tied line by line to the statements
VAT and PAYE filingNothing extra, we work from the same month’s recordsVAT return filed by the 15th, PAYE return filed and payslips issued on time
Management accountsConfirmation of one-off items: new equipment, a loan, a write-offA one-page profit and loss and balance sheet for the month
Year-end statementsThe full year’s reconciled recordsAnnual financial statements, ready for a bank, an investor, URA or the Registrar

Where you already have someone doing till reports, banking cash or running payroll, we work from what they produce rather than replacing them. We are the second pair of eyes that reconciles it and catches what is missing. In hand-kept Ugandan books the most commonly missing expense line is mobile money transaction and withdrawal charges, which almost no accounting system creates by default.

What one real month looks like, with the numbers

Most accounting pages describe a service. Here is a month of one, worked through for a small Ugandan retail business, September 2026, with every figure tying to the next.

  • Sales UGX 12,000,000: cash 8,000,000, mobile money 3,200,000, credit 800,000.
  • Cost of goods sold UGX 7,200,000: opening stock 4,000,000 plus purchases 6,700,000 less closing stock 3,500,000. Gross profit UGX 4,800,000, a 40% gross margin.
  • Operating expenses UGX 3,560,000: rent 800,000, staff including the employer NSSF 2,200,000, fuel 150,000, airtime and data 50,000, mobile money charges 60,000, utilities 100,000, depreciation 200,000.
  • Net profit before tax UGX 1,240,000, income tax accrued 150,000, net profit after tax UGX 1,090,000. That is a 9.08% net margin on UGX 12,000,000 of sales.
  • Break-even for the month was UGX 8,860,759 of sales: fixed costs of 3,500,000 divided by a contribution margin ratio of 0.395. Below that number the month loses money no matter how busy the shop feels.

Now the part a till never tells you. Cash and bank rose by UGX 2,440,000 over the month while the business earned UGX 1,090,000 after tax. The difference is not profit. Suppliers were owed UGX 1,700,000 more at the end of September than at the start, and customers still owed UGX 800,000 of the month’s sales. A busy month with rising cash can be a month in which you have quietly borrowed from your suppliers and will pay it back in October. Seeing that in time to act on it is the whole point of monthly accounts, and it is invisible from the cash box.

The balance sheet at 30 September closes the loop. Current assets of UGX 10,540,000 (cash, bank and mobile money 6,240,000, customers owing 800,000, stock 3,500,000) against current liabilities of UGX 4,450,000 (suppliers 3,700,000, NSSF 600,000, URA 150,000) leaves working capital of UGX 6,090,000 and a current ratio of 2.37. That is the measure of whether everything owed in the short term could be met out of what the business already holds, and it is the reading that tells you a slow month will not sink you. Every figure in this section comes from the same reconciled set of records, which is why they agree with each other: profit feeds retained earnings, and the cash flow statement closes on the same UGX 6,240,000 the balance sheet shows.

The dates that carry a penalty

Most of what an accounting service is really paid for is dates. These are the ones with a penalty attached, with figures checked September 2026.

  • VAT return and payment, within 15 days of the month end, so in practice by the 15th. The penalty for defaulting on a VAT return is UGX 200,000, and interest on unpaid VAT runs at 2% a month, compounded, for every month or part month it stays unpaid.
  • PAYE, by the 15th of the following month. The penalty widely reported for late PAYE is the higher of UGX 200,000 or 2% of the unpaid tax per month, plus 2% a month interest. We could not match that figure to a URA publication, so treat it as indicative and confirm the current penalty with URA before you rely on the number.
  • NSSF, by the 15th of the following month: 15% of gross pay in total, 10% from the employer and 5% deducted from the employee. Every employer with at least one employee must be registered.
  • Local Service Tax, by 31 October each year, deducted from employees and paid to the local authority where each employee lives, and employers may spread it over four monthly instalments. The penalty for late or non-remittance is 50% of the LST due, which is far heavier than the tax itself suggests.
  • Audited accounts laid within 10 months of year end for a private company, 7 months for a public company. Under section 167(1) of the Companies Act 2012 the accounts go to the Registrar at URSB with the auditor’s report and the directors’ report. Three separate URSB filings get confused with each other here: the accounts themselves, the annual return (UGX 55,000 for a private company limited by shares), and beneficial ownership information, which every company must file and which is the one owners most often miss.
  • Records, kept 5 years after the end of the tax period they relate to, and longer if an audit, objection or appeal began before those five years ran out.
  • Objecting to an assessment, 45 days from the date of the notice. Miss that window and the assessment stands whatever its merits.

Audit preparation, and statutory audits where one is required

Two different things get called an audit in Uganda. A statutory audit is required by law: under the Companies Act 2012 every registered company must appoint an external auditor and have its accounts audited every year, with no small-company exemption of the kind some other countries allow. A URA audit is URA reviewing your records to test the tax you declared, and it can reach any business, registered company or not.

We offer audit preparation for both, and where a statutory audit is required we can carry out the audit itself, because our practice holds an ICPAU practising certificate. We name no clients, publish no count of audits and promise no outcome: every audit is judged on its own records. Audit preparation sets out exactly what gets asked for and where the usual gaps are.

Set this up first, before a monthly accounting service makes sense

A monthly accounting service is rarely the first thing a business needs. This is the real order, with what each step costs, and we are named only where we genuinely earn the money.

  • Register, and know the real fee. A URSB business name is UGX 90,000 in total: UGX 35,000 to reserve the name and UGX 55,000 to register it. A private company whose nominal share capital is UGX 5,000,000 or less costs UGX 105,000 to register, on top of the same UGX 35,000 name reservation, plus 0.5% stamp duty on the capital, so UGX 25,000 on UGX 5,000,000 of capital. A TIN is free from URA and takes about five minutes online if you hold a National ID. A KCCA or local council trading licence is not free and depends on the trade and the grade of the area: a Grade IV kiosk is UGX 6,000 a year, a Grade I general retail shop UGX 210,000, a Grade I grocery UGX 525,000, a Grade I pharmacy UGX 600,000. URSB and KCCA schedules, checked September 2026. Owners commonly report paying agents anywhere from about UGX 600,000 to several million shillings for the same registration errand, so ask for the official fee in writing before you agree a price with anyone.
  • The free habits, from day one. Keep business money in its own account and its own mobile money line, write down every sale and expense the day it happens, put the catalogue on WhatsApp Business, and claim your Google Business Profile so the place shows on Maps. Claiming it costs nothing and most owners still pay someone to do it: how to add a business to Google Maps.
  • Once there is stock to lose or staff at the till: Growth Informer Business for sales, stock and the daily cash-up, with EFRIS switched on when URA requires it and left off until then.
  • Once customers look you up before they visit: a website , see how to create a business website in Uganda, with a monthly care plan at if you want it kept running.
  • When no ready-made tool fits the workflow: a custom build, , quoted per project.
  • When a penalty, assessment, audit letter or deadline is already live: that is the point at which a URA-registered tax agent earns the fee, and it is the section below.

Be honest about where you are. A stall turning over UGX 500,000 a month needs the daily record and WhatsApp Business, not a monthly accounting service and not a website. Monthly accounts start paying for themselves once there is stock, staff or VAT in the picture and the owner can no longer hold the numbers in their head. Our free business profit calculator will show you in a couple of minutes which side of that line you are on.

If a penalty, assessment or URA letter has already landed

If URA has already sent an assessment, a penalty notice or a request for records, the calendar decides more than the arguments do. Do these before you call anyone.

  • Read the notice for two things: exactly what is being asked for, and the date it is due. Send what was asked for and nothing else.
  • Gather that period’s records first: sales invoices and EFRIS e-invoices or e-receipts, purchase invoices with the supplier’s EFRIS documents, bank statements, MTN MoMo and Airtel Money statements, payroll and NSSF schedules, and the stock record. Bank and mobile money statements can usually be reprinted even when the paper receipts are long gone.
  • If you disagree, object within 45 days of the date of the assessment notice, in writing, stating your grounds and attaching the evidence. The burden of proof sits with you to show the assessment is wrong, not with URA to show it is right.
  • Then the clock runs the other way. The Commissioner must serve an objection decision within 90 days, and a decision served late can be treated as one that allows your objection. From that decision you have 30 days to apply to the Tax Appeals Tribunal, which charges a non-refundable UGX 22,000 filing fee and will not hear the case until you have paid 30% of the tax assessed or the tax not in dispute, whichever is the higher amount.

This is our reading of the published process, not tax advice; for a ruling on your own case go to URA or a registered tax adviser, and how a URA tax dispute works has the full timetable with decided cases.

Where we come in: we are registered with URA as a tax agent, so we can set EFRIS and VAT up on your own systems, file your returns, draft and lodge the objection, and represent you through the process. We quote tax work only after seeing the notice, never before. Send it on WhatsApp to +256 702 946 946.

How Growth Informer Software Services can help

On the accounting side we run the monthly cycle in the table above and produce the year end statements, working from whatever you already use: a POS, a cash book, bank and mobile money statements, or a notebook and a box of receipts. Where your own staff already do the till and the banking, we reconcile behind them rather than replacing them.

On the systems side, our own Growth Informer Business platform records the sale, the stock movement and the URA EFRIS e-receipt in one action, so the books become a by-product of running the shop instead of a second job at month end. EFRIS is a setting you switch on when URA requires it, or voluntarily, and leave off until then, without changing systems. Ask on WhatsApp for a demo and the current plan.

Message us on WhatsApp at +256 702 946 946 with your last 3 months of sales, bank and mobile money records, or the notice if URA has already been in touch. We reply within 6 hours and set up a meeting for the next day.

Frequently asked questions

What do accounting firms in Uganda actually do each month?

Bookkeeping and reconciliation from your POS, bank and mobile money records, VAT and PAYE returns filed by the 15th of the following month, and a one-page profit and loss and balance sheet you can read in minutes. At year end it extends to full financial statements and, for a registered company, the statutory audit.

How much does an accountant for a small business cost in Uganda?

It depends on transaction volume and how far behind the books are, so we quote after seeing your business, at a fixed price agreed before any work starts. What is fixed and published are the government fees around a business: a URSB business name is UGX 90,000 in total, a TIN is free, and a KCCA trading licence runs from UGX 6,000 a year for a Grade IV kiosk to UGX 600,000 for a Grade I pharmacy, checked September 2026.

What is outsourced accounting in Uganda?

Handing your bookkeeping, reconciliations and tax filing to someone outside the business, usually because there is no in-house accountant or the owner's time is worth more spent selling than posting receipts. As a URA-registered tax agent we can also file the VAT, PAYE and other returns that come out of that work.

What is a monthly accounts service?

A recurring routine: reconcile the month's cash, bank and mobile money to the statements, post the sales and purchase records, file VAT and PAYE if you are registered, and produce a profit and loss and balance sheet before the next month starts.

When must a Ugandan company file its audited accounts?

A private company must lay its accounts within 10 months of its year end and a public company within 7 months, and under section 167(1) of the Companies Act 2012 the accounts go to the Registrar at URSB together with the auditor’s report and the directors’ report. The annual return is a separate filing, UGX 55,000 for a private company limited by shares, and beneficial ownership information is a third one.

What goes into management accounts?

At minimum a profit and loss and a balance sheet for the period, reconciled to your actual bank, mobile money and cash position rather than estimated. Useful ones also show what customers owe you and what you owe suppliers, because that is where a profitable month and a cash-tight month come apart.
