Every school runs the same core workflows, but no two schools run them the same way. Underneath them all sits the student information system: one record per learner holding guardians, enrolment history, class placement, documents and health notes. A fee balance should never be a number someone edited. It should be the sum of every invoice, payment, discount and refund, so the bursar can explain it to any parent line by line.

Results and report cards

Teachers enter marks per subject and assessment, the system applies your grading scale and the weighting between continuous assessment and exams, and a head of section approves before anything is released. A national curriculum and an international one can run side by side with their own grading.

Parent portal

Timetable

Periods, rooms and teacher availability with clash detection and cover when a teacher is absent. Attendance

Registers by day or by period on a phone or tablet, late marks and absence reasons, a same-day message to parents when a child is marked absent, and pattern reports for pastoral staff. Smart School script or a custom build: how to choose

Smart School by QDOCS is one of the most widely bought school scripts on CodeCanyon, with more than 6,000 sales listed. It is a PHP and CodeIgniter application with admission, fees collection, attendance, examinations, class timetable, library, transport and hostel modules, and separate panels for admin, accountant, teacher, receptionist, librarian, parent and student. For one school that is happy to work the way the script works, that is a lot of software for a modest licence fee.

The trade-offs appear later. A CodeCanyon Regular License covers use in a single end product whose end users are not charged, so an edtech founder billing schools needs the Extended License and still builds the business on someone else's codebase. Every change you make to the script has to be carried forward each time the vendor ships an update. And the fee, grading and report card logic is the vendor's, so a boarding school with transport routes, sponsor bursaries and two curricula spends its time working around it.

Children's data: consent, access control and audit built in

A school system holds children's names and addresses, health notes, safeguarding records and family finances, and data protection laws treat children's data as a special case. Uganda's Data Protection and Privacy Act, 2019 (section 8) allows a child's data to be collected or processed only with the prior consent of a parent or guardian, where it is necessary to comply with the law, or for research or statistics. Kenya's Data Protection Act, 2019 (section 33) requires a parent or guardian's consent and appropriate mechanisms for age verification and consent. In the UK, schools work under the UK GDPR, and the Information Commissioner's Office publishes guidance on children's information. Meeting those duties is the school's obligation. • Consent recorded at admission. The application records which guardian consented, to what, on which date and against which version of your privacy notice, and that record stays with the learner.
• Role-based access. A class teacher sees their own classes, the bursar sees fees but not medical notes, the school nurse sees medical notes but not balances, and a parent sees only their own children.
• Audit trail. Views and changes to student records, marks and fee balances are logged with who, what and when, and a mark changed after publication requires a recorded reason.
• Sensitive fields kept apart. Health, safeguarding and special educational needs notes sit behind tighter permissions than the general record.
• Verified parent accounts. A parent login links to a child only after it is matched against the guardian details the school holds.
• Secure sign-in. Encrypted connections, optional two-factor sign-in for staff, and automatic sign-out on shared school computers.
• Retention and export. Leavers' records archive according to your policy, and you can export or remove a learner's data when a request comes in.
