What a custom LMS includes

The parts of an LMS that cause trouble after launch are rarely the course pages. They are access rules, failed renewals and reports that do not hold up when someone asks for them. These are the modules we scope first.

Courses, cohorts and drip release

Courses built from modules and lessons (video, text, downloads and links to live sessions), with prerequisites, drip release by date or by progress, and cohorts with fixed start dates, enrolment caps, facilitators and discussion. Self-paced and cohort learners can take the same course side by side.

Assessments and certificates

Question banks with randomised quizzes, time limits, attempt limits and pass marks, plus assignments that a tutor grades against a rubric. Certificates are issued automatically when the rules are met, carry a unique ID and can be checked on a public verification page, so an employer can confirm a certificate is genuine without emailing you.

Payments and subscriptions

One-off course purchases, monthly or annual subscriptions, coupons, instalments and bulk seat licences that a company buys and assigns to its staff. We connect card processors and, where your learners are in Africa, mobile money, through our payment gateway integration services. Access is granted and revoked by payment events, so a failed renewal closes the course without anyone checking a spreadsheet.

Video delivery

Video is hosted with a specialist streaming provider rather than on your web server, delivered at adaptive quality so it plays on weaker connections, and served through signed, expiring links so paid lessons are not shared freely. Progress is tracked per learner, so completed means watched, not clicked.

Corporate training reporting

Completion by department, branch or role, overdue mandatory training, assessment scores over time and exportable records of who passed what and when. Single sign-on with Microsoft or Google accounts, staff lists synced from your HR system and support for existing SCORM packages keep adoption and migration manageable.

Rocket LMS, Academy LMS or a custom build

Rocket LMS and Academy LMS are ready-made learning management scripts sold on CodeCanyon. Rocket LMS is built on Laravel, and Academy LMS is also sold in a Laravel edition. Both ship with course management, instructor and student areas and paid course sales, so for many academies the fastest route is to start from one and change only what does not fit.

What installing a script really involves

The script is the cheap part. A working install needs a server running the PHP and database versions the release requires, a domain with SSL, outgoing email that does not land in spam, scheduled jobs for reminders and renewals, video hosted away from the web server, and your payment gateway tested with real transactions. We set it up on your own hosting and under your own licence, so the platform is never tied to our accounts.

The licence question buyers miss

Envato's licence terms call for an Extended Licence when the end product is sold or otherwise limited to paying customers. An academy that charges learners for courses usually falls into that category, so confirm which licence you hold before launch. Avoid nulled copies from download sites: they get no updates from the author and can carry hidden malicious code.

When a script stops being the cheaper option

Every change made inside the author's code has to be carried forward by hand when a new version comes out, or the update overwrites it. Keep customisation light and a script stays cheap to run. If your change list rewrites enrolment rules, payments and reporting all at once, you would be paying for a custom build while living with someone else's architecture, and we will quote the custom route instead.

When an off-the-shelf LMS is enough

We would rather lose a project than build something you did not need. An off-the-shelf platform is usually the better choice when:

  • You are a solo creator or small team selling a handful of courses to individuals, and a hosted course platform's monthly fee is less than hosting and maintaining your own.
  • You need to train staff on standard content, completion and scores are all the reporting you need, and a mainstream corporate LMS already connects to your HR system.
  • You have not yet proved people will pay for the course. Validate on a hosted tool first, then build once you know what the product really is.
  • Your budget does not stretch to hosting, support and improvements after launch. A custom platform is a product you run, not a one-off purchase.

Custom starts to pay back when per-learner or transaction fees grow with every enrolment, when your model (cohorts sold to employers, subscriptions bundled with coaching, certification with strict exam rules) fights the template, when you want your own branded mobile app, or when learner data and training records must sit in your own systems.

What moves the price: the number of user roles, whether several organisations need separate accounts, live class integrations, SCORM support, how many payment methods you accept and how detailed the reporting must be. A learner app that sells course access needs planning early. Apple's App Store rules and Google Play's payments policy generally require their own in-app billing for digital content such as course memberships, with exceptions such as live one-to-one tutoring on iOS and rules that differ by country. Should we use an off-the-shelf LMS instead of building one?

Often, yes. If you sell a few courses to individuals, have not yet validated demand, or only need standard staff training with completion reports, a hosted or established LMS is cheaper and faster. Custom makes sense when learning is your product, your pricing or cohort model does not fit a template, or training records must live in your own systems.

Who owns the platform and the learner data?

On a custom build you own the source code and all learner and training data, so you can host it where you choose and bring in another team later. On a script build, your data and the changes we write for you are yours, while the author's original code stays under its Envato licence.

Can you move our existing courses and learners onto the new platform?
