Best POS system in Uganda: nine checks and six vendors compared

Most shops buy a POS on a demo and a logo, then find the gaps in month three. Here are the nine checks to run at your own till, what six vendors' own websites said on 10 October 2026, and which shops should simply rent.

The short answer

The best POS system in Uganda is the one that passes a live test at your own till, not the one with the longest feature list. Check nine things before you pay: mobile money recorded against each sale, URA EFRIS receipts issued from the till, selling while the internet is down, stock per branch, batch and expiry, credit sales, hardware, data export, and the three-year cost of renting against owning. EFRIS comes first: every VAT-registered business must issue EFRIS e-invoices, and since 1 July 2025 so must businesses in 12 URA-listed sectors, such as restaurants, hotels, construction and fuel retail, unless their annual turnover is under UGX 10 million.

On 10 October 2026 we read the websites of five names Ugandan buyers come across: UgaPOS, EzyPOS, Thirdsan, ROBIPOS and Pesapal. They are five different kinds of product: an offline desktop POS on a yearly plan, a supermarket POS sold through Kampala resellers, a one-time licence that claims EFRIS built in, a Kenyan POS listed for Kenya's eTIMS rather than URA's EFRIS, and a card and mobile money terminal that needs POS software beside it. A single shop with ordinary stock should rent. A chain whose pricing, stock or approval rules do not fit a standard till should have one built. We make Growth Informer Business, our own cloud POS, so put the same nine checks to us.

Rent a POS, use ours, or have one built?Send us on WhatsApp your business type, how many branches and tills you run, roughly how many products you stock, whether you sell on credit or track batches and expiry dates, whether you must issue EFRIS receipts and what you use today, and we will tell you plainly which route fits, with a fixed quote if a build does.

How to choose a POS system in Uganda: the nine checks

Run these nine checks in order, with your own products and a real phone. A vendor that cannot show a check working on screen has not passed it, whatever the brochure says.

  • 1. Mobile money at the till. Pay for a test sale with MTN MoMo or Airtel Money. Does the sale record the method and the transaction ID by itself, or does the cashier look at a phone and tap "paid"? The second way is where cash-up differences start. At closing, cash, MoMo, Airtel Money and card should each have their own total, and a reversed payment should show against the sale it belonged to.
  • 2. EFRIS. URA's notice on additional EFRIS taxpayers brings in 12 sectors from 1 July 2025, VAT registered or not, on top of every VAT-registered business. Where a supplier must use EFRIS, its business customers get no income tax deduction for an expense without the e-invoice or e-receipt, so contractors and companies will ask you for one. Ask the vendor to issue an EFRIS receipt live on a sale you choose, then process a return and show the credit note. Whether your own business is covered is for you and your tax adviser to confirm with URA: start with do I need EFRIS.
  • 3. Offline mode. Switch off the Wi-Fi during the demo. Can the cashier keep selling, and when the connection returns, do sales, stock and receipts catch up without duplicates? URA says its system-to-system connection supports issuing e-receipts in offline mode, so ask whether the vendor's EFRIS link uses it or stops issuing fiscal receipts until the network is back.
  • 4. Multi-branch stock. Can you see stock per branch, move stock between branches with a record at both ends, set prices per branch if you need to, and limit a branch manager to their own branch? A plan that covers one location is not a chain system, whatever the homepage says.
  • 5. Batch and expiry. Medicines, food, cosmetics and agro-inputs need a batch number and expiry date on every delivery, a warning before stock expires and a rule that sells the earliest expiry first. The pharmacy POS guide for Uganda shows how this works at a dispensing counter.
  • 6. Credit sales. Customer accounts, credit limits, part payments, printed statements and an aged list of who owes you and for how long. Without these, credit sales end up in a notebook beside the till.
  • 7. Hardware. Which receipt printers (58mm or 80mm), barcode scanners, cash drawers, weighing scales and phones, tablets or laptops does it run on? Can you buy them from any Kampala shop, or only from the vendor? Is any hardware in the price? A desktop-only POS needs a laptop or PC at every till; a phone-based one does not.
  • 8. Data export. Can you export sales, stock and customers to Excel or CSV yourself, at any time, without asking? What happens to your records if you stop paying or the vendor closes?
  • 9. Monthly fee versus owning. Ask for the full price list in writing: the fee per month or year, per branch, per till, per user, for EFRIS, for support, for updates and for extras. URA says the taxpayer pays for the system-to-system connection, so ask whether EFRIS is in the price or charged on top. Multiply the yearly total by three and set it beside a one-off quote.

Restaurants and stock-heavy shops add more checks

A restaurant needs tables, kitchen tickets and recipe costing that a shop till does not, and accommodation and food service is one of URA's 12 EFRIS sectors: see restaurant POS in Uganda. If you are hunting for the best inventory software in Uganda, test the stock side harder than the till: a stock count, a transfer, a write-off and a reorder level, each done live. The guide to inventory management software in Uganda covers what to look for.

Best point of sale software in Uganda: six names checked on 10 October 2026

Below is what each vendor's own website said when we read it on 10 October 2026. It is not a ranking and not our test result. We leave out their prices because they move: UgaPOS's homepage and its pricing page gave different starting prices on the same day. Open each site yourself, note the date, and take every claim to the demo.

  • UgaPOS. Its site says it works offline during internet outages and syncs when reconnected, exports reports to PDF or Excel, manages credit sales and runs several branches from one dashboard. It sells a desktop app, with the mobile app marked coming soon, on plans billed yearly, and each plan on its pricing page lists one business location. We found no mention of EFRIS or mobile money on its homepage or pricing page. Ask: which plan covers a second branch, and can you show me an EFRIS receipt?
  • EzyPOS. Sold through Kampala computer resellers. The one reseller listing we read describes multi-store management from a central dashboard and lists credit among the payment types. The developer's own product page would not load for us, and neither page mentioned EFRIS or offline selling. Ask the reseller who builds and supports it, and for a live EFRIS receipt.
  • Thirdsan. A Ugandan software company whose POS page sells Hardware Manager Pro. It claims full URA EFRIS integration, selling through internet outages with EFRIS receipts synced afterwards, several branches, expiry tracking for pharmacies and credit customer tracking for wholesalers. It is priced as a one-time licence with no monthly subscription, including installation, training and help with EFRIS registration. Mobile money is offered as a separate payment integration service. Ask: what do updates and support cost after year one, and how do I export my data?
  • ROBIPOS. From Robisearch, a Kenyan company. Robi POS appears on the Kenya Revenue Authority's list of approved eTIMS integrators dated 26 January 2026. eTIMS is Kenya's tax system, not URA's EFRIS. Before a Ugandan shop considers it, ask whether it issues URA EFRIS receipts and records MTN MoMo and Airtel Money.
  • Pesapal. A payments company, not a stock system. Its Uganda site says it is regulated by the Bank of Uganda, and its Uganda POS page offers Sabi card terminals for Visa and Mastercard with next-day settlement, which it says integrate with third-party POS systems. Pesapal announced Airtel Money on Sabi terminals in March 2023 and MTN MoMo in June 2023. Use it to take payments at the counter, beside POS software that keeps the stock. Ask whether a terminal payment posts into the POS sale by itself.
  • Growth Informer Business. Ours, so read this with that in mind. A cloud POS, stock and business platform that runs on a phone: sales and receipts, stock, purchases and expenses, several branches, expiry tracking, restaurant and hotel modules, and URA EFRIS e-receipts and e-invoices as a setting you switch on when you are required to. Ask us the same questions as everyone else, starting with offline selling and data export.
Of the five outside names, three are POS software sold in Uganda, one is a payment terminal and one is built for Kenya's tax system. Compare like with like before you compare prices.

A shortlist of three is enough. More than that and the demos blur together.

Which shops should rent a POS, and which should have one built

A rented POS, paid by the month or the year, is the right choice for more shops than software sellers admit. We rent one out ourselves, Growth Informer Business, and we also build systems, so here is where the line falls.

Rent if

  • You run a kiosk, boutique, mini-mart, phone accessories shop, single drug shop or small hardware shop with one counter and ordinary prices.
  • You want to start selling this week and have nobody to look after software or servers.
  • You are testing a new business and do not yet know which reports you need.
  • A vendor passes all nine checks in front of you and gives you the full price list in writing.

Have one built if

  • You run several branches with their own prices, discounts or approval rules, or a wholesale price list per customer.
  • Your stock is unusual: goods weighed or cut to size, blends, kits, or products you make yourself from raw materials.
  • The till must feed accounting, staff and customer records in one place. Look at business management software in Uganda rather than a till alone.
  • Per-branch and per-user fees over three years would come to more than a one-off build.
  • You cannot export your own data from the rented system, or a change in the vendor's terms would stop your business.

Growth Informer Business and custom builds

We are Growth Informer Software Services in Kampala, and we sell in this market, so read this section knowing that.

Growth Informer Business, the POS we run

Growth Informer Business is our own live cloud POS, stock and business platform. It is a yearly plan priced by locations and users, with a free first month so you can run the nine checks on your own stock before you pay anything. See it on the Growth Informer product page, or ask for the current price on WhatsApp +256 702 946 946.

A custom build, for chains whose rules do not fit

A custom build is for chains and groups whose rules do not fit a standard till: branch-level pricing, manager approval for discounts and voids, special stock units, a link into an accounting or ERP system already in use, or mobile money that must post properly into a ledger. We built Moyo Pay, our own dual-currency wallet on a double-entry ledger with Mobile Money and USSD, so recording money movements accurately is work we have already done for ourselves. See the POS and inventory system we build in Uganda. You get a fixed quote before work starts, pay on a 50/25/25 plan, and own the source code and the data. Our portfolio has 37 live website and app builds.

When a custom build is not right

For one shop with ordinary needs, a custom build wastes your money. Rent a POS that passes the checklist, ours or anyone's. We would rather tell you that on the first call than quote you.

POS system price in Uganda: plan, licence or build

Nobody can give an honest single POS system price in Uganda, because it depends on branches, tills, users and what is included. Compare the cost over three years, not the first month, and count hardware separately: the printer and scanner are a one-off cost whichever software runs on them.

Four ways to pay for POS and stock software in Uganda, October 2026
OptionWhat you payWhat you end up with
Yearly or monthly plan from a POS vendorSet by each vendor, often per branch or user: get the full list in writingUse of the software while you keep paying: check the export and exit terms
One-time licence from a POS vendorA one-off fee set by the vendor: ask what updates, support and EFRIS cost after year oneUsually the right to use the software, not its source code: ask what you own
Growth Informer BusinessYearly plan by locations and users, first month free: current price on WhatsAppOur cloud POS, stock and business platform, with EFRIS as a setting
POS and stock system built by Growth InformerSource code and data yours, fixed quote before work starts, paid 50/25/25

For a plan, add up every fee (branches, tills, users, EFRIS, support and hardware), then multiply the yearly total by three. For a licence or a build, ask what the quote includes, what it leaves out, and what hosting, support and updates cost after launch. Ask us the same questions.

The 30-minute till test before you buy

Book a demo with each shortlisted vendor, us included, and run the same script. Bring a phone with mobile money, ten real products from your shelf, one of them with a batch and expiry date, and a colleague to play cashier.

  • Sell three items, take part in cash and part by MTN MoMo or Airtel Money, and check the sale shows both amounts and the transaction ID.
  • Ask for the EFRIS receipt on that sale, then process a return and look for the credit note.
  • Switch off the internet, sell two more items with receipts, then switch it back on and check nothing is missing or doubled.
  • Move stock to a second branch and check both stock counts.
  • Receive the batch with an expiry date and look for the warning.
  • Put a sale on credit, take a part payment and print the customer statement.
  • Export the day's sales and stock to Excel yourself.
  • Ask for the exit terms in writing: what happens to your data if you leave.

A vendor that passes all eight in front of you is worth a second meeting. If none fits, send us your branch list and the checks they failed, and we will tell you honestly whether to rent, use Growth Informer Business or build.

Frequently asked questions

What is the best POS system in Uganda?

There is no single best one for every shop. The best POS system is the one that passes a live test at your own till: mobile money recorded against the sale with its transaction ID, EFRIS receipts shown live, selling while offline, stock per branch if you have branches, and data you can export yourself. A one-counter shop often does well with a rented POS, while chains and unusual stock rules usually need one built around them.

How much does a POS system cost in Uganda?

Rented POS systems charge yearly or monthly fees set by each vendor, often per branch or user, so ask for the full list in writing, including EFRIS and support. Growth Informer Business is a yearly plan priced by locations and users, with a free first month. A POS and stock system built by Growth Informer costs , on a fixed quote before work starts, and you own the source code and data. Budget for hardware separately with every option unless a vendor puts it in the price in writing.

How do I choose a POS system in Uganda?

Write down the nine checks: mobile money, EFRIS, offline mode, multi-branch stock, batch and expiry, credit sales, hardware, data export, and monthly fee versus owning. Shortlist three vendors, ask each to show every check live on your own sale with your own products, and get the full price list and exit terms in writing before you decide.

Which is the best inventory software in Uganda?

It depends on what you stock. A pharmacy needs batches and expiry warnings, a restaurant needs recipe costing, a hardware shop needs units such as pieces, metres and bags plus credit for contractors, and a multi-branch shop needs transfers with a record at both ends. Test the stock features, not only the till screen, and ask to see a stock count, a transfer and a write-off done live.

Do I need EFRIS on my POS system?

Every VAT-registered business must issue EFRIS e-invoices. Since 1 July 2025, URA also requires businesses in 12 sectors, including accommodation and food service, construction, manufacturing and fuel retail, to use EFRIS whether or not they are VAT registered, unless annual turnover is under UGX 10 million. If you are covered, a POS that issues the receipt from the till saves keying every sale twice. Confirm your own position with URA or your tax adviser, then ask each vendor for a live EFRIS receipt and credit note before you pay.
