Law firm management software for Ugandan advocates

Matter files, a hearing-date diary, filing-deadline reminders, fee notes and a client account ledger kept apart from office money, built around how your chambers works, so the documents and dates are in order before you e-file through ECCMIS. You get a fixed quote before work starts, and you own the code and the data.

The short answer

Law firm management software, also called a legal practice management system, puts each matter in one file: the client and opposing parties, the court and case number, a hearing-date diary that gives every advocate a daily cause list, filing-deadline reminders, documents with version history, time recording, fee notes, a client account ledger kept apart from office money, client updates by WhatsApp, and a conflict check before you accept instructions. Growth Informer Software Services in Kampala builds it as a custom system around your own matter numbering, fee note layout and the way work passes between partners and associates. A full build is usually , fixed in one quote before work starts, and you own the source code and the data.

It does not connect to the Judiciary's Electronic Court Case Management Information System (ECCMIS), and we will not tell you it does. Its job is the firm's side of e-filing: the final version of each pleading saved against the right matter, and every hearing and filing date in one diary, so filing stops being a hunt through cabinets, Excel sheets and WhatsApp chats. A sole advocate or a two-advocate firm with standard needs may be better off on a dollar subscription such as Clio or PracticePanther, and the comparison below says when.

Courts on ECCMIS are dropping paper. Is your file room ready?Send us on WhatsApp +256 702 946 946: how many advocates and support staff will use it, roughly how many open matters you carry, where files live today (paper, Excel or shared folders), how clients pay your fees, and one fee note with client names blacked out. We reply with the right route, custom or subscription, and a fixed quote if custom fits.

Getting your firm ready for ECCMIS e-filing

ECCMIS began in pilot courts in Kampala and is being rolled out circuit by circuit: the Gulu High Court circuit and its magistrates courts went live in August 2026. During 2026 the Judiciary also told courts on the system to drop paper-based processes, and it directed that the 2026 presidential election petition be filed electronically. On the court's side, ECCMIS covers case registration and filing, e-payment of fees, hearings and document and evidence management. For most firms the gap is on their own side of the counter.

Where firms lose dates and documents today

  • A hearing date lives in one advocate's head or phone, and nobody else sees it when that advocate is held up in another court.
  • A filing deadline sits in a spreadsheet that nobody opens until the week it falls due.
  • Three people hold three versions of the same draft, and nobody can say for certain which one went to court.
  • A client calls for an update, and the physical file has to be found before anyone can answer.

What your system has ready when you e-file

  • The final, signed version of each pleading, marked as filed, with every earlier draft kept behind it.
  • Party names entered once on the matter, so they read the same on the plaint, the affidavits and the letters.
  • Your internal matter number next to the court and the case number the court gave you.
  • The next hearing date, the next filing step and the person who owns it.

You still file through ECCMIS yourself, and coverage differs from court to court, so confirm with the court registry or the Uganda Law Society which courts and case types your matter falls under.

What the system does, module by module

Good case management software for advocates is a matter management system first and law firm billing software second. These are the modules we build. You can start with the ones that hurt most and add the rest later.

Matter management and conflict checks

Every matter carries the client, opposing parties, related parties, court, case number, status and the advocate responsible. Before a new matter is opened, a conflict check searches those names across every matter the firm holds, open or closed, including spelling variants you add, so a conflict shows up before you accept instructions rather than after. A match shows which matter it hit and which advocate holds it.

Cause list and hearing-date diary

All hearing dates sit in one diary you can filter by advocate, court and day. Each morning an advocate sees a cause list of that day's matters, and a partner sees the whole firm, so a clash between two courts shows up the day before, not in the corridor. When a hearing is adjourned, the new date goes in and the old date stays on record with the reason.

Filing-deadline reminders

Any step on a matter can carry a deadline and a named person. Reminders go to that person and to a supervising partner before the date, and an overdue list shows what has slipped. Your advocates enter the deadlines, because the legal call on when a step falls due stays with them. The system makes sure nobody forgets it.

Documents with version history

Pleadings, drafts, correspondence and evidence are stored against the matter. Saving a new version keeps the old one, with who saved it and when, so you can show which draft was filed and who changed what.

Law firm billing: time recording, fee notes and client ledgers

Advocates record time against a matter in a few taps from a phone. Fee notes are produced from recorded time or from an agreed fixed fee, and each payment, whether it arrives by Mobile Money or bank transfer, is recorded against the fee note it settles. Automatic Mobile Money collection can be added through our mobile money integration services if you want it.

The Advocates Act and the Advocates Accounts Rules require client money to be kept in a separate client account and never mixed with other money, and an advocate who cannot account for client funds faces disciplinary proceedings before the Law Council. So the system keeps a ledger for each client, apart from office money: money received on account, disbursements paid out of it and the balance still held. We build the ledger to your practice, and your advocate or accountant confirms how it maps to the Rules.

Client updates by WhatsApp

Clients want to know where their case stands, and most of them are on WhatsApp. The system drafts a short update from the matter file, such as the next hearing date and what happened at the last one, you send it over WhatsApp, and the message is logged on the matter so the file shows what the client was told and when. Whether sending is automatic or a single tap is agreed when we scope the build.

Partner reports

  • Open matters by advocate and by status.
  • Unbilled time, and fee notes sent but still unpaid.
  • Hearings and filing deadlines coming up this week and this month.
  • Client account balances held for each client.

Custom build or Clio and PracticePanther: an honest comparison

Clio and PracticePanther are established legal practice management products, and both handle matters, calendars, time recording, billing and trust accounting. Both are priced per user, in US dollars, billed monthly or annually. Their built-in payment tools take cards and bank payments such as ACH or eCheck, not Mobile Money. For a sole advocate or a two-advocate firm with standard needs and a card that pays dollar subscriptions, that is often the sensible choice: you can start this week, the vendor maintains the software and you carry no build project.

Because the fee is charged per user, the bill grows with every associate, clerk and secretary you add, and it moves with the shilling against the dollar. A custom system starts to make sense when one or more of these is true:

  • Your firm has several advocates and support staff, or a second office, so per-user fees multiply.
  • Your clients pay fees by Mobile Money and bank transfer, and you want each payment matched to its fee note the way it actually arrives.
  • Your workflow is your own: how you number matters, how work passes from partner to associate, how your fee notes look.
  • You want to own the source code and the data outright, rather than rent access to a vendor's software.
Three routes for a Ugandan law firm, and what each costs

A subscription wins on speed and on carrying no build risk. A custom build wins on fit and ownership: you pay for the build once, plus hosting and any support plan you choose, instead of a fee for every user every month, and you hold the code and the data. If you are still weighing the two routes, read custom vs off-the-shelf software before you decide.

What decides the price, and when not to build

Four things move a quote within :

  • How many users and offices the system serves.
  • Which modules you need now and which can wait for a second stage.
  • Whether Mobile Money payments are recorded by hand or collected automatically.
  • How many existing files must come in from paper, Excel or shared folders, and who scans them.

You get a fixed quote before work starts, pay on a 50/25/25 plan and own the source code and the data. See custom software cost in Uganda for what pushes a quote up or down.

When we will tell you not to build

  • You are a sole advocate or a two-advocate firm with standard needs. A subscription is likely cheaper to start and faster to use.
  • Nobody in the firm will own the system. Software does not fix a file room with no owner, so name one partner or practice manager to run it first.
  • You only need a diary and reminders. A shared calendar may be enough for now, and you can build the full system when the firm outgrows it.

What we can show, and how to start

Growth Informer Software Services is based in Kampala, with 37 live website and app builds listed on our portfolio. We have no law firm case study to show you, so judge us on the products below and on how clearly we quote. We build this system through our custom software development services.

  • Moyo Pay, our own dual-currency wallet on a double-entry ledger with Mobile Money and USSD. A client account ledger needs the same discipline: every shilling in and out recorded against one client, and balances that always add up.
  • Growth Informer Business, our own live cloud POS, inventory and business platform, so we run cloud business software ourselves every day.
  • Karibu, a travel SaaS product.

What to send us

  • The number of advocates and support staff who will use the system, and any second office.
  • Roughly how many open matters you carry, and where those files live today.
  • How clients pay your fees: Mobile Money, bank transfer, cash or cheque.
  • One fee note with client names blacked out, so we can match your layout.
  • The modules you need first.

Send these on WhatsApp +256 702 946 946. We will tell you honestly whether a custom system or a subscription fits, and give you a fixed quote if custom makes sense. If your chambers also needs a website, see our law firm website design.

Frequently asked questions

How much does law firm management software cost in Uganda?

A full custom practice system from Growth Informer is usually , and a starter build with matter files, the hearing diary, reminders and documents starts , fixed in one quote before work starts. The number of users, the modules you need and how many old files must be moved in decide where you land. Clio and PracticePanther charge per user in US dollars instead, which can suit a very small firm and adds up as the team grows.

Does the software connect to ECCMIS?

No, and we do not claim it does. The system organises your matter files, final documents and dates so your firm is ready when you e-file. You still file through the Judiciary's ECCMIS yourself, and you should confirm with the court registry or the Uganda Law Society which courts and case types it covers for your matter.

Is a two-advocate firm better off on Clio or PracticePanther?

Often, yes. If your needs are standard and you can pay a dollar subscription by card, a subscription is quick to start and the vendor maintains it. A custom system pays off when you have several advocates, your own workflow, Mobile Money payments to record against fee notes, or you want to own the code and the data.

Does the system keep client money separate from office money?

Yes. It keeps a client account ledger for each client, apart from office money, showing money received on account, disbursements paid out of it and the balance held. The Advocates Accounts Rules set the obligation, so your advocate or accountant confirms how the ledger maps to them before we finish the build.

Do we own the system and our data?

Yes. You own the source code and your data, so you are not locked to us or to a vendor's subscription. You get a fixed quote before work starts and pay on a 50/25/25 plan.
