AI Chatbot for Business: WhatsApp and Website, Done Safely

Can AI answer my customers without making things up? Yes, for questions where you have approved the answer, and only if everything else goes to a real person.

The short answer

A business chatbot can safely answer the repeated questions you have already approved answers for: opening hours, prices you have signed off, order status and the steps to book. It should read only your own material, say plainly that it does not have an answer when it does not, and pass complaints, refunds and anything unclear to a named person with the whole chat attached.

It can run as a chat box on your website and on WhatsApp, which is central for customers across East Africa. The cost is not only the build: it is message fees, tool fees and the upkeep of keeping answers current. A ready-made no-code bot suits simple questions, and a custom build suits a bot that must check live bookings or stock. If you are still deciding whether AI is for you at all, start with where to start with AI in a small business.

What a chatbot can safely do, and what it must not touch

Can a bot answer my customers without making mistakes?

Not by being clever. By being fenced in. AI text can state false facts in a confident voice: an invented price, a refund policy you never wrote, a tour or room that does not exist. The fix is not a smarter bot, it is a narrower one. It looks up the matching passage in your approved material and writes its reply from that passage only. If no passage matches, it says so and hands the chat to a person.

Safe for a bot to answer:

  • Opening hours, location and how to get there
  • Prices and packages you have approved in writing
  • Order or booking status, read from your own system rather than guessed
  • The steps to book, pay or collect
  • Delivery areas and the payment methods you accept

Never leave to a bot:

  • Complaints and anyone who sounds upset
  • Refunds, disputes and exceptions to your policy
  • Anything about health, safety, legal or tax advice
  • Any question your material does not answer

Can AI replace my customer service team?

No, and a bot sold on that promise is a warning sign. It replaces the repeating part of the day: the tenth message asking what time you open. Your people keep the part that needs judgment, kindness and the authority to say yes. In most small businesses the honest result is the same team answering fewer repeat questions and having more time for the customers who need them.

How to put a chatbot on your website or WhatsApp

How do I put a chatbot on my website or WhatsApp?

The order matters, and the technology is the smaller part:

  • Collect the questions. Copy the last few months of real customer messages and group them. Many businesses find that a short list of repeated questions covers most of the traffic.
  • Write the approved answers. One document, one source of truth, owned by one person. The bot reads this and nothing else.
  • Choose the tool. A ready-made bot or a custom build (compared below).
  • Connect the channel. On a website, the chat box is added to your pages with a snippet of code. On WhatsApp, the bot connects to a business account through the WhatsApp Business Platform or an approved provider. There is a setup and approval step on WhatsApp's side, so allow time for it before you promise a launch date.
  • Set the handover rules, including a first line that tells customers they are talking to an automated assistant, then test before any customer sees it.

For many customers in Uganda, Kenya, Tanzania and Rwanda, WhatsApp is one of the first places they message a business, so it is usually the channel worth getting right before a website chat box. If you are not yet using a business account there, read our guide to WhatsApp Business for small businesses in East Africa first.

Handover and testing: the part that protects your name

When should the bot pass the chat to a person?

Decide this before you build, in writing. A sound rule set hands over when:

  • The customer asks for a human, even once
  • The message is a complaint, a refund request or an angry one
  • The bot cannot find the answer in your material, or fails to understand twice in a row
  • The question involves a large payment, a special arrangement or anything sensitive

Good handover does three things. It tells the customer a person is coming and when, based on your real working hours. It passes the full chat so nobody asks the customer to repeat themselves. And it alerts a named person on the channel they actually watch. A message that arrives after hours should still get an honest reply: we will answer when the team is back.

How to test it with real past questions

  • Take 50 to 100 real messages from your past chats and run every one through the bot.
  • Mark each reply as right, wrong, or correctly handed over. Wrong is the number you watch.
  • Include the way your customers really write: short messages, mixed English and Swahili or other local words, misspellings. Decide too what the bot does with voice notes and photos, which are common on WhatsApp. If it cannot read them, it should say so and hand over.
  • Add trick questions: a product you do not sell, a price you never set, a policy you do not have, a message telling the bot to ignore its rules.
  • Treat one invented price or policy as a failure to fix before launch, not an acceptable error rate.
  • Read a sample of live chats every week for the first months, and re-test whenever your prices or rules change.

Ready-made no-code bot or a custom build

A ready-made no-code bot is the right first step for many small businesses: it is quick to set up, you control the answers, and it handles plain questions well. Its limits show when the answer depends on live information. It usually cannot check whether a room is free on a date or whether an item is in stock unless the tool offers a connection for it, and your data sits under the vendor's terms.

A custom build connects the bot to your own systems, so it can read real availability and real order status instead of repeating typed-in text. That connection is an API integration, and when the system behind it is a reservation engine it is built together with a booking system. We have built direct booking forms for travel and lodge clients, including Lorato Lodges and Camping in Chobe, Botswana, so the booking side of this is work we do.

How much does a chatbot cost to run?

The four running costs most owners meet

  • Message fees. WhatsApp charges for some kinds of business message, and the rules and prices change. Read the current price list for the countries you serve.
  • AI usage fees. Many bots pay a small fee each time the AI writes a reply, so a busy month costs more than a quiet one.
  • Tool or hosting fees. A monthly subscription for a ready-made tool, or hosting for a custom build.
  • Upkeep. Someone must update the approved answers when prices or rules change and read a sample of chats. This is the cost people forget, and a stale bot is worse than no bot.

We do not print running-cost numbers here because they depend on your message volume and on vendor prices that change. Ask any provider for a written monthly estimate at your expected volume, and ask what happens to the bill if volume doubles. The build itself is a separate one-off cost, and a custom one is quoted in the table above.

When a chatbot is not the right move, and when to talk to us

Skip the bot, at least for now, if you get only a handful of messages a day: saved replies in a business WhatsApp account will do. Skip it if your answers change daily and nobody has time to maintain them, or if most of your messages are complaints and one-off advice. Fix the repeated questions first.

Talk to us when the same questions arrive every day, when the answer lives in a booking or stock system, and when you want it connected rather than bolted on. We are a US-based company with remote teams, including a team in Kampala, Uganda that works East Africa Time (UTC+3). That overlaps the UK and European working day and the start of the US East Coast day, and a US team member joins client video calls. There are 37 live website and app builds on our portfolio. You get a fixed quote before work starts, a 50/25/25 payment plan, and you own the code and data. Not sure yet? Our AI consulting can scope it honestly first. Frequently asked questions

How much does a custom chatbot cost?

A custom chatbot connected to your bookings or stock starts from , quoted as a fixed price before work starts. Running costs such as message fees, tool fees and upkeep are separate and depend on your message volume.

Can a bot answer my customers without making mistakes?

It can if it is limited to your approved answers, tested on real past questions, and told to say it does not know and hand over when the answer is not in your material. No bot should be trusted to make up an answer, because AI text can state false facts.

Can AI replace my customer service team?

No. It takes over repeated questions such as hours, approved prices and booking steps. People still handle complaints, refunds, exceptions and anything the bot cannot find in your material.

When should the bot pass the chat to a person?

When the customer asks for a human, sends a complaint or refund request, asks something your material does not cover, or fails to be understood twice. The full chat should go with the handover.
