The short answer
To sell on WhatsApp, use the free WhatsApp Business app, not ordinary WhatsApp. Fill in your business profile, put your products and prices in the catalog, set a greeting and quick replies, and use labels to mark who has asked, who has paid and who needs a follow-up. Answer fast, show the price before the customer has to ask, and follow up once.
Chat alone stops being enough when new customers cannot find you. Google and AI assistants cannot search inside your chats, and a stranger wants proof before sending money. Start with the app today, then add a Google Business Profile, and when you are ready, a simple website. WhatsApp changes its rules and features from time to time, so check its current rules before you plan around any feature.
Ordinary WhatsApp or WhatsApp Business: set it up
Is WhatsApp Business free, and what is the difference from normal WhatsApp?
The WhatsApp Business app is a separate app from the green WhatsApp you already use. It is free to download and use on your phone. It adds the tools a shop needs: a business profile, a catalog, quick replies, greeting and away messages, and labels. Ordinary WhatsApp has none of these, so a customer sees only your name, photo and number.
WhatsApp also sells bigger business tools, mainly for large companies that send messages by computer program. Those are not free, and their fees can change. Do not assume a feature is free because the app is. Check WhatsApp's own pages for what costs money before you plan around it.
Use a number that belongs to the business, not your personal chats. If your shop number is also your private number, install WhatsApp Business on a second SIM or move the shop to its own line.
How to set up a WhatsApp Business catalog
- Profile first. Add your shop name, a clear logo or shop photo, what you sell, your address, opening hours and, if you have one, your website or Google Maps link.
- Add products. Open the catalog and add each item with a clear photo, a name and a short description. Photos taken in daylight sell better than dark ones.
- Put the price in the catalog. A buyer who sees the price before writing to you is already half decided. This also cuts the "how much?" messages from people who were never going to buy.
- Keep it small and true. List your best sellers first. Remove what you no longer have in stock, because a customer who finds an item sold out may not return.
- Greeting message. Set a short welcome for new customers: who you are, what you sell, and the best time to reach you.
- Away message. For night hours or lunch, tell the customer when you will reply. A promise of "tomorrow at 8 am" keeps more buyers than silence.
- Quick replies. Save the answers you type fifty times a week: price list, delivery areas, how to pay, opening hours. Type a short shortcut such as /price and the full answer appears.
- Labels. Mark each chat as New, Asked price, Waiting for payment, Paid or Delivered. At the end of the day, you can see who still needs an answer. Customers cannot see your labels.
Menus and screens change between phone makes and app versions, so if a button is not where this guide says, look for it under the business tools or settings of the app.
How to sell on WhatsApp: the habits that win sales
The tools only help if the habits are right. Three habits do most of the work.
- Answer fast. A buyer is usually chatting to three shops at once. The first clear answer often gets the sale. If you cannot answer, let the away message do it.
- Put the price where the buyer can see it. Use the catalog, your status posts and a price list in a quick reply.
- Follow up once. One polite message the next day is service. Five messages in a row is pressure.
Customers ask the price on WhatsApp and then go quiet. Why?
Usually for one of three reasons. The price was higher than they expected, you replied too late, or they could not tell why you were worth it. You cannot fix the first by arguing, but you can fix the other two.
- Send the price together with something useful: a photo, what is included, delivery time. A bare number invites a quiet exit. A salon might write: "Braids, [price], about 3 hours, booking is Saturday 10 am or Sunday 2 pm."
- Ask one question back, such as "Do you need it today or this week?" It turns a price check into a conversation.
- Label the chat "Asked price" and send one follow-up the next day: "Do you still need this? I can hold one for you until 5 pm."
- If they still say nothing, let it go. Keep your energy for the people who reply.
Status posts, a wa.me link and a QR code
Status posts disappear after a day, so post new stock, a new price or a happy customer (with permission) every few days. Only people who have saved your number can see them, so ask every customer to save your shop number.
A wa.me link opens a chat with you in one tap. It is wa.me/ followed by your full number with the country code, and no plus sign, spaces, dashes or first zero. The country codes are 256 for Uganda, 254 for Kenya, 255 for Tanzania and 250 for Rwanda. So the number 0702 946 946 in Uganda becomes wa.me/256702946946. Put this link on your Facebook page, Instagram bio and Google profile. Turn it into a QR code (a square picture a phone camera can scan) for posters, receipts and your shop door, so a customer can scan it and start a chat. Test the link on a second phone before you print anything. Free QR code makers online can turn the link into a code.

How to take payments on WhatsApp with Mobile Money
The risk in chat selling is the payment step. Screenshots go missing, a customer says "I have sent it" and you cannot find it, or a fake message is shown as proof. A simple routine fixes most of this.
- Put your payment details in a quick reply. Add your Mobile Money or M-Pesa number or merchant code, the name that shows when the customer types it, and the exact amount. The customer can check the name before they send, which stops wrong-number payments.
- Wait for the network's own SMS. Do not release goods on a screenshot alone, because a screenshot is easy to edit. The SMS from the network to your phone is the proof. Check the amount and the sender name.
- Write the transaction ID in the chat. Reply with "Received, ID ..., thank you" and change the label to Paid. The chat becomes your record.
- Cash on delivery for new buyers is fine. For boda boda delivery to someone you do not know, agree who pays the rider before the item leaves.
- Write sales down daily. A chat is not a record book. Copy each paid order into a notebook or a sales system at the end of the day.
Payments inside the WhatsApp chat itself are not available in every country, so do not count on them. Check what WhatsApp offers in your country before you promise customers anything.
When you have many sales a day, matching SMS messages by hand becomes slow. That is the point to look at a Mobile Money till and sales system that records each payment, or at the Mobile Money integration guide if you want a website that confirms payments by itself.
The limits: blocked numbers, mass messages and teams
Why was my WhatsApp Business number blocked?
We cannot see inside WhatsApp's decisions, and its rules change, so read its current rules and use its review or appeal option if you are restricted. In general, numbers get into trouble for the same few reasons: sending messages to many people who never asked to hear from you, sending the same message to a long list, customers blocking or reporting you, new numbers that suddenly send a large volume, and using unofficial or modified WhatsApp apps.
- Message people who have chatted with you or agreed to hear from you.
- Do not buy phone number lists or add strangers to groups.
- Do not use modified versions of WhatsApp. Install only the official app.
- Do not use outside tools or programs that send messages in bulk from your number.
- Keep your own backup of customer numbers outside the app, in a notebook or a simple sheet, so one restriction does not wipe out your customers.
A phone is one person. A team needs more.
One shop phone works until three people want to answer, a staff member leaves with the phone, or you travel and sales stop. The Business app lets you link a few extra devices, such as a laptop, but it is still one number run by hand. The bigger business tools for teams can cost money and the rules change. Ask the provider for the current fee in writing before you pay. If a team handles your chats, agree who answers what and use labels so two people do not reply to the same customer.
Broadcast lists (one message sent to many people at once) are tempting, but they only reach people who have saved your number, and they are a fast way to collect spam reports. A small, honest list of past buyers who asked to hear from you is safer than a big list of strangers.
When chat alone stops being enough
Chat is a good place to close a sale. It is a weak place to be found. A person who types "best salon near me" or asks an AI assistant for a clinic does not see your chats, your catalog or your status posts. They see Google results and web pages. If you only exist inside WhatsApp, that customer never reaches you.
Customers who do find you also look for proof: who you are, where you are, real photos, prices and reviews. A website holds all of that in one place and gives your wa.me link a home. Do the free steps first: finish your Google Business Profile, and read whether you need a website at all. For some shops, a profile and a good chat are enough for a long time.
If you want more customers than word of mouth brings, adverts with a button that opens a WhatsApp chat can send people straight to you. Our guide to click-to-WhatsApp ads on Facebook and Instagram in Uganda explains how they work and what to expect. Test with a small budget first, and make sure someone answers fast, or the money is wasted.
If you do decide on a website, this is what our fixed-quote options add to a WhatsApp business. Prices show in your currency.
| Your situation | Our price | What it adds to your chat selling |
|---|---|---|
| You sell a few things and want one page Google can find | A one-page site with your offer, photos and a WhatsApp button | |
| You have a shop, clinic, salon, school or service firm | Several pages, a map, prices, proof and a wa.me link on every page | |
| You want customers to order and pay online | An online shop that takes orders and does not rely on chat screenshots |
The website cost page explains what each option includes.
When not to hire us: if you have a handful of regular customers, a full phone book and a Google profile, keep using WhatsApp and put the money into stock. Come to us when new customers cannot find you, or when you lose buyers because you have nothing to show them.
Growth Informer Software Services is a US-based company with a team in Kampala, and we have 37 live website and app builds on our portfolio page. The payment plan is 50, 25 and 25, and you own the code and the data.
