Who can help my organisation use AI in East Africa?

Growth Informer Software Services in Kampala, Uganda, helps an organisation start using AI one department at a time, through a four-week review that ends in a written plan and one measured pilot. The review is a task inventory in week one, a costed sort into automate, train or leave alone in week two, one pilot in week three, and a plan with a named owner in week four.

It is for a manager, programme lead or procurement officer who has been asked to do something with AI in one department, or who is comparing bidders. It is not training and it is not a software build.

If you want your staff taught to use AI rather than a plan for a department, see our one-day AI workshop for company teams.

Which department should we look at first?WhatsApp +256 702 946 946 with the department, its number of staff, the task that takes the most hours each week and any hours-per-week figure you already have, and we will say whether the four weeks fit.

How can my company start using AI?

A company can start using AI with one small, measurable step: pick one department, write down every task it repeats each week, and count the hours the biggest ones take in a normal week. That count is your before number. Then check which tools your staff already pay for, because the first pilot should use those, not a new purchase.

The four-week review covers these steps with you. We do the interviews and the watching, sort the list with a cost against each line, and leave the result with a named person inside your organisation. One department, one measured pilot and one named owner come before any company-wide plan.

If your question is wider than AI, such as how to run your IT or which systems to buy, our IT consultancy in Uganda page is the better place to start. The AI review is narrower on purpose.

What does an AI consultant do?

An AI consultant should find where AI saves time in your work, say what to leave alone, and show evidence for both. Ask any consultant what you will hold at the end: a written plan and a measured result, or only a presentation.

What happens in a four-week AI review?

The review covers one department and runs for four weeks. Each week ends with something you keep.

The four-week AI review: what we do and what you get each week
WeekWhat we doWhat you get
Week 1Interview up to five of your staff, watch the work, and list every repeated task.A written task inventory for the department.
Week 2Sort the list into automate, train or leave alone, with the cost of each.A shortlist with a recommendation and a cost against each line.
Week 3Build one pilot with tools you already pay for, on one process, once the before number exists.A pilot with the before and after numbers, once the before number exists.
Week 4Write the plan, the one-page AI policy and the training plan, and hand over to a named person inside your organisation. The plan, the policy, the training plan and a named internal owner.

What kind of tasks end up on the list?

An inventory can contain entries such as monthly reports rebuilt by hand, the same few WhatsApp questions answered all day, and figures copied from paper forms and Mobile Money statements into a spreadsheet. These are examples of what an inventory can contain, not results we claim. Not every task should be automated: where a wrong answer is costly or a person must sign, the shortlist can say leave it alone or keep a human check.

What do we get at the end of the four weeks?

  • A task inventory: every repeated task in the department, written down.
  • A costed shortlist: each task marked automate, train or leave alone, with a cost against the line.
  • One working pilot: one process, with the before and after numbers, once the before number exists.
  • A written plan: with a one-page AI policy and a training plan.
  • A named owner: the person inside your organisation we hand the plan to, named with you in week four.

The one-page AI policy is a practical rule for staff, not a legal document. This is not legal advice: ask your advocate to check it before you adopt it.

How is the review different from AI training for staff?

The review gives one department a plan and a measured pilot over four weeks, while a workshop trains a team in a day. If your first need is to teach your employees how to use AI, book our one-day AI workshop for company teams, quoted separately. The review ends with a training plan but does not deliver the training.

What do you need from us before the pilot runs?

We need the before number: the hours per week, or the items processed per week, for the one process the pilot will touch, measured before anything changes.

If the number does not exist, we help you measure it first, which means agreeing what to count and how to count it before the pilot is built. If it is never measured, the pilot does not run, because nobody could tell whether it worked. We will not invent a baseline to fill the gap.

What is included, and what is not?

The review is one department, four weeks, one pilot and the five things listed above. A second department is a second review. It does not include software development, buying licences, ongoing support or delivering the training. Each of those is a separate quote, stated before you pay.

The review does not include buying software. The week 3 pilot uses tools you already pay for. If none of them can do the job, the plan says so, and any purchase or build is a separate quote.

No savings are promised. The pilot reports the measured before and after numbers, whatever they turn out to be.

How much does an AI consultant cost in East Africa?

Consultants may charge by the hour, the day or a fixed project fee. The review is one fixed quote for the four weeks and one department, agreed before you book. We propose half on signature and half on handover.

How do I choose an AI consultant in East Africa?

Ask any AI consulting firm in East Africa, including us, five questions before you sign. Here is each question with our answer.

  • Is the fee fixed? Yes. One fixed quote for the four weeks, agreed before you book.
  • What is measured before and after? Hours per week, or items processed per week, for one process. No before number, no pilot.
  • Who owns it afterwards? A named person inside your organisation, named with you in week four.
  • Where does our data go? The pilot uses tools you already pay for, so data goes where those tools send it, under the terms you already have with them. You decide what data the pilot may use, and the week 4 policy sets the rule for what staff must never type into a public tool, for example client records and staff files.
  • What is not included? Software builds, licences, ongoing support and delivering the training, each quoted separately.

Then ask any bidder to show you something you can check. Growth Informer Software Services builds software, so the plan can say when a task needs a tool you already own and when it needs something built; see our custom software development page for what we build.

What about personal data in my department's work?

Each of the four countries has a data protection law that applies to personal data however you process it. This is not legal advice: ask your advocate which one covers the data your department handles.

Is this an AI readiness assessment?

Partly. The review covers the practical side of readiness: which tasks exist, which ones to automate, which ones to train for, and who owns the next step. It is not a maturity-score questionnaire and it is not a framework document.

Who is the review for?

It suits a finance, HR, operations or programme team, and the five questions above also work as a checklist for any bidder.

Who should not book the review?

Do not book the review if you want a software build first, a review of the whole organisation at once, or a guaranteed saving.

What happens after the four weeks?

You hold a plan, and what happens next is your choice. Some tasks will need nothing more than the tools you already pay for, and the plan says so when that is the case. Other tasks will need something built, and we route those to work we already do.

Each of these is a separate quote, stated before you pay. A review that recommends leaving most of the list alone is a valid result.

Frequently asked questions

Do we need to buy new software?

No. The review does not include buying software, and the week 3 pilot uses tools you already pay for. If none of them can do the job, the plan says so, and any purchase or build is a separate quote, stated before you pay.

What if we cannot measure the before number?

Then we help you measure it first. The pilot runs only when a before number exists, in hours per week or items processed per week, because without it nobody can say whether the pilot worked.

Do you work in Kenya, Tanzania and Rwanda as well as Uganda?

Yes, we take organisations in those countries. How week one is run, on site or by video, and any travel cost, is stated in the quote before you book.

Can you also train our staff to use AI?

Yes, as a separate one-day workshop for up to 12 people, quoted separately from the review. The four-week review ends with a training plan but does not deliver the training.

Do you guarantee savings?

No. We report the measured before and after numbers, whatever they are.
