The short answer
To sell African safaris to US customers, make your company feel close: prices in US dollars, a US phone number or WhatsApp line answered in US daytime hours, card deposits, a named person, and plain answers on visas, health and permits. Many Americans also book through a travel advisor, so give advisors their own page with a quick quote route.
Many Americans plan a safari well ahead of travel, so the sale is won by a fast first reply and patient email follow-up, not by one ad. If your best guests are American but you sound far away to them, this is the fix, and it sits inside a wider safari marketing program for operators, lodges and camps in Uganda, Kenya, Tanzania, Rwanda and Botswana.
What an American buyer expects before they pay
An American planning a first African trip is spending a lot of money on a company they cannot visit. They look for reasons to trust you, and they look fast. The checklist is short, and most operators miss two or three items on it.
Dollars, not guesses
Show prices in US dollars, per person, and say plainly what is included (park fees, guide, vehicle, meals, internal flights) and what is not. A buyer who has to convert currency or email for every figure often moves on to the next tab. Whether you show a fixed price or a "from" price, make the basis clear.
A named person and a phone that gets answered
A name and a face beat "the team". Put a named consultant on the contact page with a photo, a US number or WhatsApp line, and the hours it is answered. East Africa Time (Kenya, Uganda, Tanzania) runs roughly seven to eight hours ahead of New York and ten to eleven ahead of California, depending on US daylight saving; Rwanda and Botswana are an hour behind East Africa Time. A New York 9am to 5pm window lands at roughly 4pm to midnight on an East African clock, so someone has to own that window on purpose.
Card deposits
Many American buyers are used to paying a deposit by card and settle the balance later. A bank wire to an African account can feel risky to a first-time buyer. If you cannot take a card today, close that gap: we can connect a payment gateway to your booking page (see payment gateway integration), and your bank or processor will confirm what works for your country and account.
Plain answers on visas, health and permits
Write one short page per country: entry rules for US passport holders, health advice such as malaria prevention, vaccinations and travel insurance, and how permits work where they apply. Where a permit is needed, such as for gorilla trekking, say how and when you handle it for the guest. Do not copy figures from old blog posts. Date every page, tell readers to confirm with the official government source, and recheck it each season. A wrong visa line costs more trust than a missing one.
The US phone number question
Operators ask about a US number first because it is the visible fix. It helps, but only if someone answers it well. A US number that rings out, or sits on voicemail for two days, is worse than an honest WhatsApp line with a named person behind it.
Providers sell US numbers that forward to a mobile or an app anywhere in the world, so the number itself is the easy part. The hard part is the routine: who answers, in which hours, with what script, and how fast a missed enquiry gets a reply. This is how a setup built for Americans compares with a local-only one.
| What a US buyer checks | Built for Americans | Local-only |
|---|---|---|
| First contact | A US number and a WhatsApp line, with answer hours shown on the site | A local number only, or a form with no promised reply time |
| Prices | In US dollars, with inclusions and exclusions written out | In local currency, or by email request only |
| Deposit | Card deposit on a booking page, balance later | Bank transfer instructions sent by email |
| Who they deal with | A named consultant with a photo and a direct line | A generic info inbox signed "the team" |
| After the first reply | Same-day reply, then email check-ins through the months before travel | One reply, then silence until the guest chases |
If you cannot staff the evening hours, say so. Publish an honest window, such as "we reply the same day, and always before your next morning", and then keep it. A promise you break costs more than a limit you state.
Travel advisors need their own door
Many American travellers book through a travel advisor rather than direct. An advisor does not want your brand story. They want to answer a client quickly and know the operator on the ground will look after that client. If your only route in is the consumer site, you make advisors work too hard, and they go to an operator who does not.
Give advisors a page of their own with:
- who you are, which countries and parks you cover, and what you sell;
- sample itineraries an advisor can adapt for a client;
- how you work with advisors and how you pay them, stated in your own terms (set your own terms, and we put no rate on this page);
- a short quote request: group size, dates, interests and budget range;
- a named contact and a reply time you can keep;
- a one page PDF and photos they can forward.
Our page on travel agent partnerships for safari companies goes deeper. If you already sell through agents and destination management companies in Europe and the US, Karibu, our own travel software connecting African tour operators with agents and DMCs in Europe and the US, was built for that route.
A word on rules. Requirements for selling travel to US customers depend on where the seller is based and how the sale is made. We make no claim about them and do not give legal advice, so take advice from a lawyer who knows your setup before you present yourself as a US-based seller.
Long lead times: win the sale by email
Many US travellers start looking well before they travel, so an enquiry today may become a deposit months later. Operators rarely lose these guests at the first reply. They lose them in the quiet weeks after it. A simple email sequence keeps you in the conversation without nagging.
- Within hours: a personal reply with two or three questions (dates, group size, what they want to see) and an offer of a call or WhatsApp chat.
- Within two days: a draft itinerary with a clear dollar price and what is included.
- Every week or two: one useful email, such as a season note for their dates, your visa and health page, a packing list or a short guest story.
- Before the deposit date: a plain reminder with a card payment link.
- After booking: a pre-departure series so they arrive confident, which also sets up reviews and referrals.
Here is the shape of a good first reply:
Hi Sarah, this is Peter from [company] in [city]. Thanks for asking about gorilla trekking and a few days on safari. To price this properly I need three things: how many of you are travelling, which dates are flexible, and whether you want to add a savannah park. I can call you on WhatsApp at 9am your time tomorrow if that suits.
Say the lead times you quote on your site only when you know them to be right for each product, and keep the wording general until you have checked them with the park, lodge or permit authority.
What we do, and when not to hire us
Growth Informer Software Services is a US-based company with remote teams around the world, including a team in Kampala, Uganda, and a US team member joins client video calls. The safari growth program has three phases: fill the funnel (website, search, Google Business Profile, Meta and Google ads), close it (your reservations and sales process, plus training so the team can turn enquiries into bookings) and keep the guest (support during and after the trip, reviews, repeat and referral). Our promise is "your first new inquiries within 14 days of going live, or we work free until they arrive".
Our builds include Entice Africa Safaris in Kenya, and Lorato Lodges and Camping in Chobe, Botswana, where we built landing pages and a direct booking form. See the direct booking system for the full offer, and use the free OTA commission calculator to see what third-party platforms take from your bookings today.
When not to hire us
- Your guests are mostly regional or from one other market, and Americans are a small share you do not want to grow.
- Nobody can reply to an enquiry within a working day. A campaign would only send people to silence.
- You want legal advice on selling to US customers. We do not give it.
- You will not put a named person and an answering routine behind the US number.
- You are already full through advisors and do not want more enquiries.
If none of that is you, send your business name, country, what you sell and where enquiries come from today, on WhatsApp or the form, and we will say plainly what we would fix first.
Frequently asked questions
Do I need a US company or office to sell to Americans?
Not to look credible. What buyers see is dollar prices, a US number or WhatsApp line, card deposits and a named person. Whether any legal or licensing rule applies depends on where the seller is based and how the sale is made, so take legal advice for your own situation.
What does it cost to set this up with Growth Informer?
It depends on the business: which countries and products you sell, what website and booking set up you already have, and how much advertising you want to run. We give a fixed quote before work starts. Send your business name, country, what you sell and where enquiries come from today, and we will quote against that.
Should I get a US phone number or just use WhatsApp?
Either can work. A US number reassures buyers who prefer a normal call, and WhatsApp suits guests who already use it. What counts is that it is answered in a published window by a named person, and that missed enquiries get a reply fast.
How do I get US travel advisors to send me clients?
Give them their own page with sample itineraries, a short quote request, a named contact and your terms for working together. Then reply fast and keep your promises on the first few clients. Advisors send more to operators who make them look good.
How do I get American guests for my lodge?
American guests usually find a lodge through travel agents, Google search and reviews. Show your rates in dollars, take a card deposit, answer within minutes and keep a clear cancellation policy, so guests feel safe booking from far away. A direct booking channel of your own also keeps the guest relationship with you instead of a middleman. See direct booking system for how that works.
What hours should I be reachable for US guests?
American guests write in their morning and evening, which is the middle of the night or very early in East Africa. You do not need to stay awake all night. Send an instant automatic reply that says when a real person will answer, and cover one early and one late window using a shared WhatsApp Business inbox. Setting up this cover is part of the reservations training in our Safari Growth Program.
