The short answer
To turn safari inquiries into bookings, reply within minutes during your working hours, make the first reply ask four or five questions that let you build the right trip, send a quote with two or three options instead of one price, and then follow up for two weeks across email and WhatsApp. Inquiries often go cold because of silence, not because a rival had a better trip. Often the guest wrote to several operators in one evening, and the one who replied first, asked good questions and stayed in touch is the one they ended up talking to.
This guide covers the third and fourth leaks in the funnel: a slow or generic first reply, and no structured follow up once the quote has gone out. If your problem is too few inquiries, start with how to get more safari bookings. If inquiries arrive but do not turn into trips, keep reading, because the fix is a process your team can run every day.
Why reply speed is measured in minutes, not a day
A traveller in the US, UK or Germany planning a gorilla trek in Bwindi or a week in the Serengeti rarely writes to one company. They fill in three or four forms in one sitting, then wait to see who answers. An evening in California is already the next morning in Nairobi or Kampala, so the first job of your working day is the overnight inbox, before meetings, before the phone, before anything else.
The first reply is not the quote. It is proof that a real person is on the other end and that you know the destination. That is why it can go out in minutes while the quote takes a day.
Rules that make fast replies normal
- One owner per day. Name the person who owns the inbox, with a backup for leave days and weekends. If everyone owns it, nobody does.
- Phone alerts for the web form. Form submissions that sit in an email folder until Monday are a classic way to reply days late.
- Reply on the channel they used. A WhatsApp message gets a WhatsApp reply. An email gets an email, with a short WhatsApp note only if they gave you a number.
- An honest out of hours message. If it is the middle of the night for your team, send a short note signed by a named person that says when they will hear from a human. Do not fake a live chat.
- Do not wait for a perfect quote. Send the first reply now, with questions, and build the quote after you have the answers.
If most of your inquiries land on WhatsApp, a shared team inbox stops them sitting on one person's phone. We cover that in WhatsApp booking system for safari companies.
The first reply: ask the right questions
A good first reply does three jobs. It greets the guest by name, shows you know the place they asked about, and asks a small number of questions that let you design the trip. More than five questions feels like a form. Fewer than three and your quote is a guess.
The questions that matter most
- When, and how fixed are the dates? Gorilla groups in Uganda and Rwanda are capped at eight visitors a day and permits are limited, so dates decide what is possible. Flexible dates also let you suggest a cheaper or quieter week.
- Who is travelling? Number of adults, ages of children, anyone with limited mobility. This changes the vehicle, the rooms and some activities.
- What must they not miss? Gorillas, the Mara plains in Kenya, the Serengeti and Ngorongoro Crater in Tanzania, Chobe and the Okavango in Botswana, a beach finish. One answer here shapes the whole route.
- What style of stay? Simple camp, mid range lodge or high end. Guests often know this even when they have no budget in mind.
- A rough budget range per person, without international flights. Frame it as a way to avoid wasting their time. Some will not answer, and that is fine.
A first reply you can copy
Hi Sarah, thank you for writing to [Company]. I am [Name], and I will plan your trip with you personally.
Gorillas in Bwindi with a few days of game viewing is a trip we run often, and I would like to build it around you instead of sending a standard itinerary. Five quick questions so I get it right: 1) Which dates, and are they fixed? 2) Who is travelling, and any children? 3) What is the one thing you must not miss? 4) Do you prefer simple camps, comfortable lodges or high end? 5) What budget per person feels comfortable, not counting flights?
Reply here or on WhatsApp on [number]. I will send options within [24 hours] of your answers.
Keep the destination line real. If you run Kenya and Tanzania, mention the park the guest named. Generic replies are easy to spot and easy to ignore.
The quote: show options, not one number
A single price with a single itinerary forces a yes or no. Three options turn the question into "which one?", which is a much better question to be asked. Build the options so the differences are plain in words, and mark the one you recommend.
- Option A, the lean version: fewer nights or simpler camps, same core experience.
- Option B, the one you recommend: the trip that best fits their answers, with the lodges and days you would choose for your own family.
- Option C, the step up: an extra park or night, a better room, a private vehicle or a scenic flight.
Each option should say what is included, what is not, how the deposit and balance work, how long the quote is valid, and the one next step you want. Send the document by email and a short note in the channel the guest uses. Staff who can build and explain a quote like this are the biggest lever at this stage, which is why we train reservations teams in it: see safari reservations training.
A quote cover message
Hi Sarah, your options for [trip] are attached. I put them in three versions so you can compare. I would pick Option B because it gives you [reason from their answers]. The quote is valid until [date]. If one of them is close, tell me what you would change and I will adjust it today. Would a 15 minute call this week help?
Do not invent urgency. If a lodge or permit date really is limited, say so. If it is not, leave it out.
The two week follow up sequence across email and WhatsApp
Most bookings do not come from the quote. They come from the conversation after it. Compare the three ways safari companies usually handle this stage.
| Reply once and wait | Structured two week follow up | Chase every day |
|---|---|---|
| Timing: one reply, then wait for the guest to come back. | Timing: seven touches over 14 days, with most of them in the first week. | Timing: a message every day until they answer. |
| Channel: email only, often missed or buried. | Channel: email for documents, WhatsApp for short nudges once the guest has used it or shared their number. | Channel: every channel at once. |
| Content: nothing after the quote. | Content: each message adds something: a question, an answer, a photo, a call offer. | Content: the same "just checking in" repeated. |
| Risk: the quote is forgotten while a rival keeps talking. | Risk: needs discipline and a simple record of who is on which day. | Risk: the guest feels pressured and stops replying. |
| Best for: almost nobody. | Best for: most safari companies, lodges and camps. | Best for: nobody. |
The sequence, day by day
- Day 0: first reply with your questions, within minutes.
- Day 1 or 2: the options quote by email, plus a short WhatsApp note that it has been sent.
- Day 3: WhatsApp: did it arrive, and is there a question about any option?
- Day 5: email something useful: what a typical day looks like, when the rains and dry months fall, photos of the lodge you actually use. Answer the objection they are likely to have.
- Day 8: offer a 15 minute voice or video call. Many guests relax once they hear a voice.
- Day 11: an honest nudge about availability, only if it is true.
- Day 14: close the loop politely and leave the door open.
Day 3 and day 14 messages
Day 3: Hi Sarah, it is [Name] from [Company]. Did the options reach you? If anything looks off, such as the number of nights or the lodge style, tell me and I will rework it.
Day 14: Hi Sarah, I do not want to crowd your inbox, so I will close your file for now. If your plans change or you want me to price different dates, reply to this message and I will pick it up straight away. Either way, I hope the trip happens.
Three rules keep this clean. Stop the moment they say no or book. Write down every touch in a sheet or your CRM so two staff do not message the same guest. And use WhatsApp only with guests who messaged you there or gave you their number for this purpose.
Where we fit, and when you do not need us
If you get a handful of inquiries a month and one person already answers them well, you may not need us. Copy the templates above, set a daily inbox owner, keep a simple tracking sheet and run the sequence by hand for a month. That alone fixes a lot.
It gets harder when inquiries arrive through the website form, WhatsApp, email, Instagram and booking sites at once, when staff are part time or travelling, or when you pay for ads and the leads do not turn into trips. Our safari growth program has three phases: fill the funnel with a website, search, Google Business Profile and ads; close it with a reservations and sales process plus team training; keep the guest through support, reviews and referrals. This guide is the closing phase. If a large share of your bookings come through booking sites and you want to see what that costs you in commission, try the free OTA commission calculator, and read how the full offer works in our direct booking system.
Growth Informer Software Services is a US-based company with remote teams around the world, including a team in Kampala, Uganda, and a US team member joins client video calls. Our portfolio lists 37 live website and app builds, including safari and lodge sites such as Lorato Lodges and Camping in Chobe, Botswana, where we built landing pages and a direct booking form. We give a fixed quote before work starts, we use a 50/25/25 payment plan, and you own the code and data.
The guarantee, exactly: "your first new inquiries within 14 days of going live, or we work free until they arrive". To start, send your business name, country, what you sell and where inquiries come from today, on WhatsApp or the form.
Frequently asked questions
How fast should we reply to a safari inquiry?
Aim for minutes during your working hours, and by the start of the next working day for anything that arrives overnight. The first reply does not need a quote. It needs a real name, a line that shows you know the destination, and a few questions. Name one person who owns the inbox each day so replies do not depend on who happens to see the message.
How many times should we follow up with a safari inquiry?
A sequence of about seven touches over two weeks works for most companies: the first reply, the quote, a check that it arrived, something useful, a call offer, an honest availability note and a polite close. Stop immediately if the guest says no or books. After the close, only keep them on a list if they agreed to hear from you.
Should we follow up by email or WhatsApp?
Use both for different jobs. Email is best for the quote document and longer answers. WhatsApp is best for short nudges and quick questions, but use it only with guests who messaged you there or gave you their number for this purpose. Always start on the channel the guest used to contact you.
What should a safari quote include?
Two or three options with the differences stated in words, your recommended option marked, what is included and not included, how the deposit and balance work, how long the quote is valid and one clear next step. Avoid a single take it or leave it price, and do not invent urgency that is not real.
What does it cost to have Growth Informer set this up?
It depends on your business: how many inquiries you get, which markets they come from, which channels you use and what is already in place. We do not publish a flat figure. Send your business name, country, what you sell and where inquiries come from today on WhatsApp or the form, and we will give you a fixed quote or a demo before any work starts.
Our reservations team sleeps while US guests write. How do we reply fast?
Set an instant automatic reply that tells the guest when a real person will answer. Use one shared WhatsApp Business inbox with saved replies, and agree early and late cover hours between team members so each window is covered. The reservations training in our Safari Growth Program sets up the rota and the message templates.
