Where landlords quietly lose money

Almost nobody loses a whole month's rent at once. It leaks. A tenant pays UGX 700,000 against a UGX 900,000 invoice and the balance is never carried forward. A lease expires in March and nobody notices until June, so the escalation clause is never applied. A caretaker buys a water pump for UGX 450,000 and the receipt goes missing before the owner statement is prepared.

Then there is the deposit. Most Ugandan landlords hold two or three months as security, and very few can tell you on demand exactly how much deposit money they are sitting on across the portfolio. When a tenant leaves and disputes deductions, the argument happens from memory.

A system fixes this by making the ledger the boss. Every shilling in is matched to an invoice, every repair is charged to a unit, and every statement is generated from the same data instead of being retyped. What we build into the system

This is the standard feature set. We drop what you do not need and quote for what is missing, rather than selling you modules you will never open.

  • Unit register: block, unit number, type, bedrooms, rent, service charge, and live status of vacant, occupied or under repair.
  • Tenant profiles: NIN or passport, phone, next of kin, business name and TIN for commercial tenants, plus the full payment history.
  • Lease records: start and end dates, deposit held, escalation percentage, notice period, and an automatic alert 60 days before expiry.
  • Rent invoicing: invoices raised automatically on the 1st, with SMS and WhatsApp reminders on day 25, day 1 and day 5.
  • Payments: MoMo, Airtel Money, bank transfer, and cash receipted by the caretaker on a phone so it cannot be denied later.
  • Arrears ageing: 0 to 30, 31 to 60, 61 to 90 and over 90 days, with partial payments carried forward correctly.
  • Maintenance tickets: raised by tenant or caretaker with a photo, assigned to a fundi, with the cost booked against that unit.
  • Owner statements: gross rent, your commission, repairs deducted, net payout, exported as PDF and emailed on a fixed day each month.
  • Utilities: water meter and Yaka token readings billed back to the tenant instead of being absorbed.
  • Roles: director, accountant, agent and caretaker, each seeing only what they should.

Rent collection on MTN MoMo and Airtel Money

This is the part that decides whether the system is used or abandoned. We connect the MTN MoMo and Airtel Money collection APIs so each tenant gets a fixed reference, and a payment lands against the right invoice without anyone matching screenshots by hand. The tenant approves the prompt on their phone, the invoice closes, and the receipt goes out by SMS immediately.

Two honest points. First, the telcos charge a percentage on collections, so decide early whether you absorb it or add it to the rent, and put that in the tenancy agreement. Second, merchant accounts and API approval take time on the telco side, usually a few weeks, so we start that paperwork in week one while we build. Bank transfers and cash still exist, so both are first class in the system. A caretaker collecting cash issues a numbered receipt from the phone, and that entry is visible to the accountant the same minute.

Payment is 50% to start, 25% at the demo build, 25% on handover. The quote is fixed before we write code, so a change of scope is a new line item you approve, never a surprise invoice.

How we work

Week 1: your actual paperwork. We take copies of your current tenancy agreement, one owner statement and one month of rent records. The system is built around how you already work, not around a foreign template with a different tenancy law.

Weeks 2 to 4: the core. Units, tenants, leases, invoicing and payments. You get a login and start entering real units while we build, so the system is loaded by launch instead of empty.

Weeks 5 to 8: money and reports. Mobile money live, arrears ageing, maintenance, owner statements. We run one full month in parallel with your old method and compare the totals line by line before you switch.

If the numbers in the system do not match your books at the end of that parallel month, we do not hand over. We fix it first.

Handover. Training for the accountant and caretakers separately, because they need different things, plus a short written guide in plain English.

Custom, or something off the shelf

Be honest about your size. Under about 15 units with one owner and no agent, a well built spreadsheet plus MoMo pay is often enough, and we will tell you so rather than take the job. From roughly 30 units, or the moment you are reporting to other people's owners, the manual method starts costing more in lost rent than the software costs to build.

Foreign off the shelf platforms exist, but most of them bill in dollars monthly, assume card payment, and do not understand service charge, Yaka tokens or a caretaker who collects cash. That trade off is worked through in custom-vs-off-the-shelf-software.

Ask any developer three things before paying: can I see a live system you built, who owns the code and data at the end, and what happens if I want to add 200 units next year. Four to six weeks for a straightforward rent tracker, eight to ten weeks for an agency system with owner statements and maintenance. Mobile money merchant approval on the telco side is the usual delay, so we start that paperwork in week one.

Can it handle service charge, water and Yaka?

Yes. Water meter readings and Yaka token purchases can be recorded per unit and billed back to the tenant on the same invoice as rent, and service charge is tracked separately from rent so your owner statements stay clean.

I only have 12 units. Do I really need this?

Probably not yet. Below about 15 units with one owner, a tidy spreadsheet and a MoMo pay number will do the job. We would rather tell you that than sell you a system you will not use. Come back when you cross 30 units or start collecting rent for other owners.
