The short answer
Laundry management software in Uganda is a system that carries a customer's clothes from the counter to the rack and back to their door without anything getting lost. It records the order, tags each garment, prices by kilo or by piece, tracks wash, dry clean and press stages, sends an SMS when the load is ready, and takes payment in cash, MTN MoMo or Airtel Money. One screen shows you what is in the machines, what is sitting on the shelf uncollected, and who still owes you money.
We build these systems for laundries and dry cleaners in Kampala and upcountry. A single branch counter system starts at UGX 3,500,000. A full build with pickup and delivery routes, rider assignment, SMS updates and mobile money starts at UGX 6,500,000. You get a fixed quote before any code is written, a 50/25/25 payment plan, and full ownership of the software at handover. Where laundries in Uganda actually lose money
Almost every laundry we have quoted for is losing money in the same four places, and none of them are about washing quality. Garments get separated from their ticket and end up in someone else's bag. Clothes sit uncollected for months because nobody follows up. Staff quote from memory, so a suit that should be UGX 15,000 goes out at UGX 10,000. And the cash a rider collects on delivery does not always match the cash that reaches the till.
A counter book cannot catch any of that. It can only tell you what someone chose to write down. The moment you have two branches, three riders and a hotel contract, the book becomes a liability rather than a record.
The most expensive item in a laundry is not detergent or power. It is the customer who never comes back because you lost their kanzu.
Software fixes it by making the tag, the price and the payment inseparable from the order. Nothing moves to the next stage until the previous one is closed off, and everything a staff member does is stamped with their name and the time.
What is inside the system
We do not ship a generic product with your logo on it. We build around how your shop actually runs, but almost every Ugandan laundry build includes this core.
- Order intake at the counter: customer, phone number, item count, service type, promised date, and notes such as stains, missing buttons or no starch.
- Garment tagging with printed or barcode tags, so a shirt can be traced to its order at any stage.
- Price rules you set once: per kilo for wash and fold, per piece for dry cleaning, express surcharge, and a separate rate card for contract clients.
- Stage tracking through received, sorted, washing, drying, pressing, ready and collected, with the rack or shelf position recorded.
- Uncollected garment ageing, so you can see everything sitting past 14, 30 or 60 days and chase it before it becomes dead stock.
- Consumables tracking for detergent, softener and packaging bags, in the same way a POS and inventory system tracks stock in a retail shop.
- Daily cash-up per branch and per staff member, with a shift report you can check before anyone goes home.
If you are running the laundry alongside other operations, for example a hotel, a hostel or a salon group, we can build it as one module inside a wider business management system rather than a standalone tool.
Pickup, delivery and SMS updates that work here
Pickup and delivery is where most laundries in Kampala are now competing, and it is also where the money leaks fastest. A customer in Ntinda books a pickup, a boda rider collects six items, and by the time the bag reaches the shop nobody is certain whether it was six or seven.
We build the rider side around that reality. The customer requests a pickup by phone, WhatsApp or a simple web form. The system creates the order before the rider leaves, the rider confirms the item count on his phone at the door, and the customer gets an SMS confirming what was collected and what it will cost. The same happens in reverse at delivery, with a collection confirmation the rider records on the spot.
SMS is deliberate here. Everyone in Uganda reads an SMS, and it works on a feature phone with no data. We use short, plain messages: a booking confirmation, a ready alert, a delivery notification, and a polite reminder for garments left over 21 days. Bulk SMS in Uganda runs roughly UGX 25 to UGX 45 per message depending on your provider and volume, so we budget it with you rather than hiding it in the quote.
Payments, rate cards and contract accounts
Mobile money is not an add-on for a laundry, it is the main till. We build MTN MoMo and Airtel Money collections directly into the order so the payment reference is attached to the ticket, not typed in later from a phone screen. That single change ends most of the disputes about whether a customer paid. See how we handle the integration side in our mobile money integration services.
The system also handles the parts of laundry pricing that break generic software. Deposits taken at drop-off with a balance on collection. Express jobs at a higher rate. Mixed orders where three shirts are dry cleaned and 4kg is wash and fold on the same ticket.
Contract accounts are the other big one. Hotels, guesthouses, restaurants, salons, clinics and schools do not pay per bag. They want a monthly invoice with every delivery note listed. We build a corporate account type that logs each collection against the client, applies their agreed rate card, and generates a monthly statement you can send without recalculating anything by hand. For most laundries, those accounts become the steady base income that carries the slow weeks.

SMS credit and mobile money transaction charges are paid to your providers, not to us, and we set the accounts up in your name. If you want the full picture of how these numbers are put together, read our breakdown of custom software cost in Uganda.
How we build it, and how to choose a developer
We start by spending a morning in your shop. We watch a drop-off, follow a bag through the machines, and look at how you currently record things. That session produces a written scope with screens listed and a fixed price. Then we build in two visible stages so you are testing a real system by week three rather than waiting silently for months.
Rollout matters as much as the code. We load your existing customers and rate card, train counter staff on the till and riders on their phone view, and run both the book and the system side by side for two weeks so nothing is lost in the switch.
If you are comparing quotes, three questions separate serious developers from the rest. Ask who owns the code and the database when the project ends, because if the answer is not you, walk away. Ask to see something they have already built and running, not a design mockup. And ask what happens after handover, since a laundry system with no support plan will quietly rot within a year.
We have 25 or more live builds behind us and manage over $100,000 in client ad spend, so we also build every system SEO and AI-search ready where a public page is involved. Send your questions to WhatsApp +256 702946946 and we will give you a straight answer before you spend anything.
Frequently asked questions
How much does laundry management software cost in Uganda?
A single branch counter system starts at UGX 3,500,000. Adding pickup and delivery, rider confirmations, SMS updates and mobile money brings it to UGX 6,500,000. Multi branch systems with contract accounts and monthly invoicing start at UGX 12,000,000. Hosting and support run UGX 150,000 to UGX 400,000 per month. Every quote is fixed before work starts and paid 50 percent up front, 25 percent at review, 25 percent at handover.
Can it handle both wash and fold by the kilo and dry cleaning by the piece?
Yes. You set both rate cards once and the counter screen applies whichever the item needs. A single ticket can carry 5kg of wash and fold, two suits at dry cleaning rates and an express surcharge, and the total is calculated correctly without any mental arithmetic at the counter.
Does it work when the internet goes down?
We build the counter side so it keeps taking orders and printing tags offline, then syncs when the connection returns. SMS and mobile money confirmations need a connection, so those queue and go out once you are back online. In Kampala this matters, and we plan for it rather than pretending it will not happen.
Can hotels and salons be billed monthly instead of per bag?
Yes. Corporate accounts get their own rate card, every collection is logged against the client, and the system generates a monthly statement with all delivery notes listed. You send one invoice instead of rebuilding the total by hand at month end.
How long does the build take?
A single branch counter system takes about 3 to 4 weeks. A pickup and delivery build takes 6 to 8 weeks. A multi branch system with contract accounts takes 10 to 12 weeks. You see and test a working version in the first three weeks, not at the end.
