Why Ugandan gyms leak money

Walk into most gyms in Kampala, Ntinda or Kira and the member record is a hardcover book at reception, plus a WhatsApp group, plus one manager's phone. It works until it does not. Here is what we see when we sit at a gym's front desk for a day.

  • Expired members still training. Nobody at the desk can tell a paid-up member from one who stopped paying in March.
  • Renewals nobody chased. The member would have paid if someone had simply asked on the right day.
  • Cash that never reached the account. Money comes in at the desk on a Saturday and the owner hears about it on Monday, maybe.
  • Empty classes and overbooked ones. The 6pm aerobics session is unpleasantly packed while the 11am is one person and a trainer.
  • No idea who is about to quit. A member who has not tapped in for three weeks is already gone. You just do not know it yet.

None of this is a discipline problem. It is a record-keeping problem, and record keeping is exactly what software is good at. What we build into a gym system

We do not ship a generic membership app with a treadmill icon on it. These are the modules Ugandan gyms actually ask for, and what each one does in practice.

Members and subscriptions

One profile per member: photo, phone, next of kin, plan, start date, expiry date, payment history, and any medical note the trainer should see. Plans can be daily, weekly, monthly, quarterly or annual, plus corporate accounts where a company pays for a block of staff and you invoice the company, not the individual.

Renewals and reminders

The system builds a daily list of who expires in seven days, three days, today, and who has already lapsed. It sends the SMS or WhatsApp reminder automatically, and the front desk works a follow-up queue instead of guessing. This is the module that pays for the build.

Check-in at the door

Member taps a card, scans a QR code on their phone, or the desk searches a name. Green means paid up, red means expired with the amount owed on screen. It takes about two seconds and it gives you an honest attendance record for the first time.

Classes, trainers and personal sessions

Capped class sizes so aerobics or spin cannot be oversold, a booking link members open on their phone, trainer schedules, and personal training sold as a package of sessions that counts down as it is used.

Money and reporting

Daily cash-up at the desk, mobile money collections reconciled automatically, revenue by plan, active versus lapsed members, and attendance trends. If you run a supplements or drinks counter, we add stock and sales the same way we do in a POS and inventory system.

Mobile money billing that actually reconciles

Most Ugandan gym members pay by MTN MoMo or Airtel Money. The lazy version of this is a merchant code printed on a poster and someone at the desk squinting at SMS confirmations. It works, but it gives you no record you can trust and no way to know which payment belongs to which member.

We integrate the collections API directly. The member gets a payment prompt on their phone for the exact amount, and when they approve it the system marks that subscription paid, extends the expiry date and issues a receipt without anyone typing anything. A failed or abandoned payment stays visible in a pending list so the desk can follow up rather than assume.

For recurring plans we set up a renewal prompt on the due date, so the member approves on their phone instead of coming to the desk with cash.
