The short answer

Fleet management software in Uganda is one system that holds every vehicle, driver, fuel issue, service job and trip, instead of the hard-cover books, WhatsApp groups and three separate Excel files most fleets run on today. A working setup covers a vehicle register with logbook, insurance and inspection expiry dates, driver files and licence renewals, fuel issued per vehicle in litres and shillings, maintenance due by odometer or by date, trip sheets with load, route and delivery proof, and reports that finally show cost per kilometre per vehicle. Vehicle tracking software and fleet management software are two different things, and mixing them up is the most common mistake we see. The tracker tells you where the lorry is right now. The fleet system tells you what that lorry cost you this month, which driver burns more fuel per kilometre on the same route, which vehicle is overdue for service, and whether the third party insurance expires before the next Malaba run. We connect the two so trip distance comes off the tracker rather than off a driver's estimate. Where Ugandan fleets quietly lose money

Almost every fleet we have sat with in Kampala loses money in the same four places, and none of them show up until somebody puts numbers next to them.

  • Fuel nobody can account for. Fuel goes out on a chit, the chit goes in a drawer, and litres are never compared against kilometres covered. Once the system shows litres per 100km per vehicle and per driver, the outliers appear inside one month.
  • Papers caught at the roadblock. Insurance, annual inspection, road licence and PSV all expire on different dates. One missed renewal is a fine, a day off the road and an angry client whose load did not move.
  • Service done after the breakdown. A schedule tied to the odometer costs far less than a gearbox replaced on the Gulu highway with the truck loaded.
  • Trips nobody billed. The delivery happened, the delivery note was lost, the invoice was never raised. When the trip sheet lives in the system, it becomes the invoice source and that stops.

None of this needs clever technology. It needs the data in one place, and the right person alerted before the date rather than after it.

Vehicles and documents

Registration number, make, chassis and engine number, ownership, purchase cost, current odometer, tyres fitted, and a document shelf holding the logbook, insurance certificate, inspection and permits, each with an expiry alert by email and SMS at 30, 14 and 3 days.

Drivers

Driver file with licence class and expiry, next of kin, assigned vehicle, allowances, offences, and a running fuel and trip record per driver. Drivers only ever see their own screens.

Fuel, maintenance and trips

  • Fuel entries with litres, price per litre, station, odometer reading and a photo of the receipt, with litres per 100km worked out automatically.
  • Service schedules by kilometres or by date, job cards, parts used, garage cost and days off the road.
  • Trip sheets with client, route, load, start and end odometer, driver allowance, and signed or photographed delivery proof.
  • Cost per kilometre and profit per trip, sliced by vehicle, driver and client.

How your GPS tracker fits in

Vehicle tracking software feeds the fleet system, it does not replace it

You are almost certainly already paying a tracking company every month. Keep them. Where their platform exposes an API or a scheduled data export, we pull distance covered, engine hours, idling time and geofence events into your fleet system every night, so trip distance, fuel efficiency and driver scoring come from the tracker rather than from what was written on a chit at the station.

Where the provider gives you nothing but a login portal, we say so instead of pretending. The system then takes odometer readings at fuel entry and at trip close, which still produces an accurate cost per kilometre. Tracker integration is quoted separately for exactly this reason: every provider here behaves differently, and we test against your live account before we call it done.

If a supplier promises to integrate with your tracker before they have seen a single reading come back from it, they are guessing. Ask them to show you one live vehicle first.

  • We start in the yard, not on a call. We sit with your transport officer, go through the fuel chits, the trip books and whatever spreadsheet is currently holding the fleet together, and write down every field your team genuinely uses.
  • Fixed quote and scope. One page, plain English, priced in shillings, with what is included and what is not, so nobody argues later.
  • Built in stages. Vehicles and documents go live first so you get value by week three. Fuel, maintenance and trips follow. Integrations come last, once the daily work is already running in the system.
  • Data import and training. We import your existing vehicle and driver list, then train the transport officer, the store keeper and the accountant separately, because they each live on different screens.

How to choose a fleet system

There is plenty of transport software on offer here, from foreign subscriptions to a spreadsheet somebody's cousin built. Ask these questions before you pay anyone, us included.

  • Whose data is it? You should be able to export vehicles, fuel and trips to Excel yourself, any day, without asking the supplier for permission.
  • Does it run on the phones your team already carries? A transport officer recording fuel in the yard should not have to walk back to a laptop.
  • What happens when the network drops? Ask what a driver at Elegu does with no data. Offline entry that syncs when signal returns is not a luxury on Ugandan routes.
  • What does year two cost? Foreign fleet platforms charge per vehicle per month in dollars. At 40 vehicles that quietly becomes the biggest software line in your budget, and it never stops.
  • Can it be changed? Ugandan fleets carry loads, routes and payment habits the foreign product was never designed for. Off the shelf with a custom layer is often the honest answer, and we weigh both sides in custom versus off the shelf software.

How much does fleet management software cost in Uganda?

The core vehicle and driver register starts at UGX 3,500,000. Most operators running 10 to 40 vehicles land between UGX 7,000,000 and UGX 12,000,000 once fuel, maintenance, trip sheets, tracker integration and a driver app are included. Do we have to change our GPS tracking provider?

No. Keep the tracking company you already pay. If their platform gives us an API or a data export, we pull distance, engine hours and idling into the fleet system nightly. If it does not, the system uses odometer readings captured at fuel entry and trip close, which still gives you a reliable cost per kilometre. We test your actual account before quoting the integration.

Will it work when there is no network on the route?

Yes, if you take the driver app. Trips, fuel and delivery proof are entered offline on the phone and sync the moment signal returns. The office system needs internet, but the people out on the road do not.

Can it handle hired vehicles and subcontractors, not just our own trucks?

Yes. Vehicles are flagged as owned or hired, and hired units carry the supplier, the agreed rate and their own trip and cost record, so you can see whether hiring or owning is cheaper on a given route before you buy another truck.

How long before we are actually using it?

The vehicle and document register is usually live in 3 to 4 weeks, and most teams start entering fuel there straight away. The full system with maintenance, trips and reporting takes 6 to 8 weeks. We build in stages on purpose, so you are getting value while the rest is still being written.
