The short answer
Event management software in Uganda is a system that sells your tickets online, collects the money by MTN MoMo or Airtel Money, sends every buyer a unique QR code, and lets your gate team scan people in from an ordinary phone. Instead of printing booklets of tickets, handing them to friends to sell, and counting cash at midnight, you watch sales, arrivals and revenue on one screen while the event is still running. Every scan is recorded, so a code that has already walked through the gate cannot walk through again.

Why paper tickets and WhatsApp lists lose you money
Almost every organiser we meet in Uganda is losing money in the same four places, and none of them are obvious until you count properly after the event.
- Printed tickets get copied. A colour photocopy of a paper ticket is indistinguishable at a dark gate at 9pm. A QR code that has already been scanned is not.
- Cash at the gate goes missing. When money is collected by hand, in a crowd, in the dark, some of it never reaches you. Mobile money leaves a record for every shilling.
- You never learn who came. Names and phone numbers on a WhatsApp list are not a database. After three events you should have thousands of contacts you can sell to again, cheaper than any advert.
- Sponsors want numbers. Serious sponsors ask how many people attended, from where, and what they bought. Guesswork loses you the renewal.
A ticketing system fixes the counting problem, but the bigger win is the second event. Once you own an attendee list with phone numbers, your next launch starts with an SMS blast to people who already paid you once, and your Meta ads can target lookalikes of real buyers instead of cold guesses.
What we build into an event system
The standard build covers the full journey from the first advert to the post event report. Nothing here is optional extra software you have to buy separately.
- Ticket types and pricing: early bird, regular, gate price, VIP, student, group of five, table of ten for galas, plus free invite codes for press and sponsors.
- Mobile money checkout: the buyer enters their number, gets the payment prompt on their phone, approves it, and the ticket is issued automatically. We handle MTN MoMo and Airtel Money through our mobile money integration service, with card as an option if you need it.
- Ticket delivery: a unique QR code sent by SMS and email, so it works whether or not the buyer has data or a smartphone.
- Check-in app: your gate staff log in on any Android phone, scan, and see green for valid, red for used or fake. It keeps working when the venue network drops and syncs when signal returns.
- Registration forms: for conferences and trainings, capture organisation, job title, dietary needs, workshop track and anything else you need for badges.
- Live dashboard: tickets sold by type, money collected, arrivals per minute, and which gate is scanning fastest.
- Exports: attendee lists as CSV or Excel for badges, certificates, sponsor reports and your accountant.

Hosting, domain and payment provider fees are separate and small, usually under UGX 600,000 a year for a normal event site. Mobile money providers charge their own percentage on each collection, which you can absorb or pass to the buyer as a booking fee. Features that actually matter at a Ugandan gate
Foreign ticketing platforms are built for events where everyone has a smartphone, card and stable data. Ours are built for Lugogo at 8pm with a queue, patchy network and a gate team who learned the app twenty minutes ago.
Offline check-in
The scanner app holds the ticket list on the phone. If the venue network dies mid queue, scanning continues and the phones reconcile with each other and the server once signal returns. Nobody stands at a gate waiting for a page to load.
Mobile money that reconciles
Every payment is matched to a ticket and a phone number, so at the end of the night your dashboard total should equal your MTN and Airtel statements. Failed and pending payments are visible instead of silently disappearing, and unclaimed prompts can be resent.
Ticket resend and gate sales
Guests lose SMS messages. Your team can look up a buyer by phone number, resend the code, or sell a ticket at the gate on the spot with a MoMo prompt so cash never has to change hands.
Built for low data
Ticket pages are kept light so they open on a slow connection on a cheap phone. This is the same discipline we apply to every booking flow we build, including our direct booking system for hotels and tour operators.
How we work

- Call or WhatsApp, 20 minutes. Your event date, expected numbers, ticket types and how you currently sell. We say straight away if the timeline is realistic.
- Fixed quote. One document, one figure, a clear list of what is in and what is out. No hourly surprises.
- Build and review. You see a working ticket page early and buy a real test ticket with your own MoMo line, so you know the money moves before we go further.
- Rehearsal. Before launch we run a mock gate with your team, print the fallback list, and agree who does what if a phone dies.
- Event day and after. We monitor payments live if you book support, then hand you the attendee export and a sales report for your sponsors.
How to choose an event ticketing partner
Before you pay anyone, ask these questions. The answers separate a real system from a pretty page.
- Who holds the money? Some platforms collect on your behalf and pay you out weeks later, minus a cut. Our builds collect straight into your own MTN and Airtel merchant accounts, so settlement is your relationship with the provider, not ours.
- What happens when the network fails? If the answer is not a clear offline plan, expect a queue at your gate.
- Do you own the attendee data? Your buyer list is the most valuable thing the event produces. It should be exportable at any time, not locked in someone else's platform.
- Is there a real person on event night? Ask for a phone number, not a support ticket form.
- What is the total cost across a year? A 5 percent per ticket cut on a 3,000 person event costs far more than a one time build. Do the arithmetic on your own numbers.

Two weeks is the minimum for a simple ticket page, and four to six weeks is comfortable for a full platform. Start earlier than that if you want to sell early bird tickets, because the earlier the page is live, the longer it works for you.
Do I own the system and the attendee data?
Yes. You own the code, the site and the database, and you can export your full attendee list to CSV or Excel at any time. We do not take a percentage of your ticket sales and we do not hold your buyer list hostage.
