Why churches in Uganda outgrow the exercise book
Most churches we talk to are not disorganised. They are simply carrying a record system that made sense at 200 members and breaks at 1,500. The usher counts heads on a slip of paper, the cell leader keeps his own list, the treasurer keeps offertory in a book, and nobody can answer a simple question: how many people who joined last Easter are still coming?
The pain shows up in specific places. New converts fill a card and are never followed up. A member is bereaved and half the congregation hears late because there is no clean phone list. The board asks for a giving report and the treasurer spends three evenings adding columns. Someone leaves the administration office and takes the only complete list with them.
A system fixes the boring part. It will not grow your church. What it will do is make sure nobody falls through the cracks, that your numbers are the same numbers whether the pastor, the treasurer or the board is reading them, and that the record survives a change of staff.
What we build into a church system
Every church is different, so we scope from your actual forms and registers. That said, these are the pieces almost every Ugandan church ends up needing.
- Membership records. Name, phone, residence, date joined, baptism and confirmation status, marital status, family links, department and cell. Searchable, with photos if you want them.
- Cell groups and departments. Assign members to a cell, a zone and a department such as choir, ushering or youth. Cell leaders get their own login and see only their people.
- Attendance. Register per service, per cell meeting, per event. Counted by service time so you can see whether the 7am or the 10am is actually growing.
- Giving and pledges. Tithe, offertory, project pledges and building fund recorded against a member or as anonymous, with pledge balances so you can see who has honoured and who has not.

- Bulk SMS. Message the whole church, one cell, one department, or everyone who missed two Sundays. This is the feature churches use most.
- Events and follow-up. Crusades, weddings, conventions, baptism classes. Register attendees, tick who showed up, assign follow-up to a leader.

Mobile money giving, done honestly
This is the part churches ask about first and the part that needs the most care. Collecting tithe and offering by mobile money is straightforward technically. Keeping it trustworthy is the real work.
We set it up so a member gives from their phone, chooses what the gift is for (tithe, offering, building fund, a specific pledge), and the transaction lands in the system already tagged. The treasurer sees a running list with transaction IDs, not a screenshot of an SMS. Members can get an automatic SMS receipt. At month end the giving report and the mobile money statement should agree line for line, and where they do not, the system shows you exactly which entry is unmatched.
Two honest notes. First, mobile money charges are real and they come off the top, so we make sure your reports show gross and net and the board is never surprised. Second, permissions matter more here than anywhere else. We set roles so the person who records giving is not the same person who can edit or delete a record, and every change leaves a trail with a name and a timestamp. Payment is our standard 50/25/25: half to start, a quarter at the working demo, the balance at handover. How we build it with you
We have delivered 25+ live builds, and the pattern that works is small visible steps rather than one big reveal after four months.
1. Sit with your administrator
Not the pastor first, the administrator. We look at the actual registration card, the attendance slip, the giving book. Whatever your church already tracks, the system tracks, using your words. If your church calls them cells, the system says cells. If it says fellowships, it says fellowships.
2. Fixed quote and written scope
You get one price and a written scope before we write any code. If you later want something outside it, we quote that separately rather than quietly stretching the timeline.
3. Build in stages you can click
Membership and attendance first, because that is where the value is immediate. Giving and mobile money next. SMS and reports last. You see working screens every two weeks, on your phone.
4. Migration and training
Whatever is already in Excel we import. Paper registers we quote as data entry, or your youth team types them in over a few Saturdays into a clean import sheet we set up. Then we train the administrator, the treasurer and at least two cell leaders, because one trained person is a single point of failure.
5. Handover with support

How to choose a church system in Uganda
There are foreign church platforms you can subscribe to and some are genuinely good. Before you sign, check these five things against your actual situation.
- Does it take MTN MoMo and Airtel directly? Many foreign systems only handle card and PayPal. If giving has to be recorded manually anyway, you have bought half a system.
- What does SMS cost inside it? Check whether it uses a local gateway or an international one. The difference per message is large when you send to 2,000 people every week.
- Does it work on a cheap Android phone on a weak network? Your cell leaders are not on laptops in fibre offices. Test it the way it will actually be used.
- Can you get your data out? Ask for an export before you commit. The membership roll is the church's property, not the vendor's.
- Is the price in dollars? A subscription that looks small today moves with the exchange rate. Own versus rent is a real decision, and custom-vs-off-the-shelf-software walks through when each makes sense.

We have years of paper registers. Can they be brought in?
Anything already in Excel we import as part of the build. Paper registers we quote as a separate data entry job priced by volume, or we set up a clean import template and your administration or youth team types them in. Most churches do a mix: current members entered properly, older records kept as an archive.
Who can see and edit the giving records?
You decide, and we set it up with roles. A common setup is: the treasurer records giving but cannot delete it, the administrator manages members and sees giving only as totals, cell leaders see only their own cell, and the pastor sees everything read-only. Every edit and deletion is logged with a name and a timestamp so the board can audit it.
