The short answer
Tour operator software development is building a system around how your company actually sells trips: an itinerary builder that holds your lodges and rates, quotes in the traveller's currency, an inquiry pipeline, supplier and permit tracking, and an agent portal with rate sheets. It is worth doing when your way of working is part of your edge, or when off-the-shelf tools force your team into spreadsheets and copy and paste. Our custom systems are quoted , always on a fixed quote agreed before work starts.
It is not always the right answer. If you only need online booking and payment, start with booking system development, and if a ready-made tour operator system already fits your process, buy it and keep your budget for marketing. We are a US-based company with remote teams, including senior engineers in Kampala, and we will say plainly which route fits your business.
What a safari operator system needs to do
Most operators we speak to do not need a giant platform. They need five things to work together, so a quote leaves the building in minutes instead of days.
Itinerary builder with lodges and rates
- Build a day by day itinerary from your own lodges, camps, transfers and activities, not a generic catalogue.
- Store rates by season, room type and traveller type once, then reuse them in every quote.
- Duplicate a past itinerary, change the dates and the price updates with it, including child rates, single supplements and group rules.
Quotes in the traveller's currency
- Keep supplier costs in the currency you actually pay, and show the traveller a price in dollars, pounds or euros.
- Set your markup and conversion rule once, and record which rate each quote used, so a number never has to be explained twice.
- Send a clean quote document that looks like your company, not a spreadsheet screenshot.
Inquiry pipeline
- Every inquiry from your website, WhatsApp, email and agents lands in one list with a stage, an owner and a follow-up date.
- Nobody has to remember who was meant to reply. The system shows what is overdue.
Supplier and permit tracking
- Track holds, deposits and balance due dates for each lodge and vehicle against each booking, so nothing lapses because a hold expired.
- Track park and activity permits that need to be secured for a date, with a status for each traveller.
Agent portal and rate sheets
- Give agents and partners a login to see the rates meant for them, such as net or commissionable rates that differ from your direct price, request quotes and follow their bookings.
- Produce rate sheets by season without rebuilding a document every year.
When an existing system is the better buy
An existing tour operator system is usually the better buy when your process is close to standard, your team is small, and you want to be working next week. A subscription costs less up front and someone else maintains it. If that describes you, we will tell you so on the first call, and we would rather you spend the money on getting travellers to your door.
Custom starts to win in a different set of cases:
- Your pricing logic does not fit a standard tool, for example group rules, agent net rates, or seasonal structures that force manual fixes on every quote.
- You sell into several markets and currencies and need quotes that stay consistent across them.
- You have an agent channel and want partners to work inside your system, not by email.
- You want your data and your code to be yours, with no per seat fee that grows as the team grows.
We cover the wider trade-off in custom versus off-the-shelf software. A useful test: if you can describe your quoting workflow on one page and a product already does it, buy. If you keep saying "but we do it differently", build.
Why we know this problem: Karibu
We build Karibu, our own travel SaaS that connects African tour operators with agents and DMCs in Europe and the US. That means the operator to agent relationship, where rates, availability and quotes move between two businesses, is a problem we work on for ourselves, not one we are learning on your budget.
It also means we know what running operator software involves after launch, and we plan for it in the quote. If your main need is to work better with overseas agents, read about travel agent partnerships for safari companies first, and ask us whether Karibu already covers part of it before you commission anything new.
Our portfolio of 37 live website and app builds includes safari and travel sites such as Entice Africa Safaris in Kenya, Lorato Lodges and Camping in Chobe, Botswana (landing pages and a direct booking form), and Legson Journeys in Kigali, Rwanda. Those are websites we built for operators. The operator software we build is Karibu and the custom systems described on this page.
What it costs and how we price it
The table shows where our prices start, for the part of the build that matches your scope. The final number is a fixed quote after we understand your workflow. It does not drift upward as we go.
| What you need | Custom build with us | When an existing system is enough |
|---|---|---|
| Itinerary builder, rates, multi-currency quotes and inquiry pipeline | Your itineraries and pricing are fairly standard | |
| Mobile app for guides, field staff or agents | Your team is happy using a browser on a phone | |
| Support and changes after launch | a month | A subscription already includes support and updates |
Terms stay simple. You get a fixed quote before work starts and pay on a 50/25/25 plan. You own the code and the data, so you can move on from us if you ever want to. We are not the cheapest option and we do not try to be: we are affordable, with senior engineers, one fixed price and a team that stays on your project after launch.
How we work with you
Growth Informer Software Services is a US-based company with remote teams around the world, including a team in Kampala, Uganda. A US team member joins your video calls, and the Kampala team works East Africa Time (UTC+3), which overlaps the UK and European working day and the start of the US East Coast day. You can also reach us on WhatsApp at +256 702 946 946.
What happens first
- You send us how you sell today: a sample itinerary, a rate sheet and how an inquiry travels through your team.
- We tell you whether to build, buy or start smaller, and we quote the first version at a fixed price.
- We build in stages, so you can use the quote builder before the agent portal exists.
Software is only half of getting bookings
A faster quote process helps only if inquiries arrive. Your public site matters here, so see our tourism website design work, and if enquiries are the bottleneck, our safari marketing agency service covers that side. Many operators fix both at the same time, but you can start with whichever hurts more.
When not to hire us
If you need a system live this week, if a ready-made product fits your process, or if you want the lowest possible price over everything else, we are probably not the right fit.
Frequently asked questions
How much does tour operator software development cost?
Our custom systems are quoted , and the final price is a fixed quote after we understand your itineraries, rates and workflow. You pay on a 50/25/25 plan, and the price does not change once agreed.
Can the software send quotes in the traveller's currency?
Yes. You keep supplier costs in the currency you pay, set your markup and conversion rule, and the system shows the traveller a price in their own currency, such as dollars, pounds or euros, with a record of the rate used.
Do we own the code and the data?
Yes. The client owns the code and data. You are never locked in, and you can take the system to another team if you choose.
Is a custom system better than an existing tour operator system?
Not always. If your process is close to standard and you need to start quickly, an existing system is usually the better buy. Custom makes sense when your pricing, markets or agent channel do not fit standard tools.
Can you work with our time zone?
Yes. Our Kampala team works East Africa Time (UTC+3), which overlaps the UK and European working day and the start of the US East Coast day. A US team member joins client video calls.
Can you build a tour booking app for my company?
Yes. We can build the quote and booking system as a web app that works on a phone, or as an Android or iOS app for your guides, agents or guests. Most operators start with the web app because it works on every phone and is quicker to change, then add a native app if guides or agents ask for one.
Do I need an app, or is a website with a booking form enough?
If guests only need to ask for a quote or pay a deposit, a form is enough. If your guides, drivers or agents need to see bookings and itineraries in the field, an app earns its place.
